    Specialist : Trade Payable

    • The University of the Western Cape requires a suitably experienced individual who has a deadline driven approach, works well under pressure, is meticulous, has strong technical skills and enjoys working in a team environment. The individual will supervise the full cycle of Trade Payables activities to ensure the accurate and timeous processing and payment of Trade Creditors and the recording and reconciliation of Trade Creditor transactions and balances in our ERP system.  The individual should readily adapt to changes in technology, processes, environment and legislation.
    • Reporting to the Manager: Accounts Payable, the role plays a key review, co-ordination and supervisory function over the team responsible for the various functions relating to Trade Creditors, including invoicing, payment, reconciliation and addressing queries and problems that arise in the Trade creditors area. 
    • With an online de-centralised procurement environment, EFT’s and electronic payment workflows and documentation, it falls on this role to mitigate many of the risks around Trade creditor records and payments through review and oversight of activities and information used to record transactions, balances and other information, to facilitate payments, and relating to payment details and processes. Responsible for the team and processes relating to Trade Creditors, the role of this position in ensuring correct financial records and preventing errors, fraud and irregular activity as well as maintaining and building sound professional relationships with Trade creditors is critical, and the impact of mistakes or lapses is significant. This role also provides auditors and any other reviewers with information and documentation/records required and liaises with all parties involved in trade creditors transactions and processes, within and outside the University.

    The key outcomes expected from the role are:

    • Coordination, Supervision and guidance of Accounts Payable staff Responsible for trade vendors and payments and efficient and accurate administration of Trade Vendor accounts.
    • Act as the Interface between Finance and stakeholders both internal and external, and Provide specialist advice and guidance to stakeholders
    • Effectively manage volatile and conflict situations between Accounts Payable and the various stakeholders
    • Identify system and process shortcomings and conceive and implement system & process improvement
    • Co-ordinating monthly, six-monthly and annual accounting closure processes, reporting and analysis, and ensuring any necessary adjustments are implemented, and are valid, accurate and complete
    • Mitigate risk to the University by review and oversight of adherence and application of Policies and procedures.
    • Quality Control over Processing - Review of vendor processing, payments, reconciliations and other transaction reports to ensure accurate Administration of Vendor accounts and payments and monitor overall Accounts payable management

    Minimum Requirements

    • A completed tertiary 3-year Degree/Diploma (minimum NQF 7) accounting or related commercial subject or equivalent
    • A minimum of 5 years’ experience in administration of Accounts Payable on an ERP system, and through an electronic banking platform
    • 2 years in a supervisory role over a team and multiple processes in creditors administration and payment processing

    SKILLS & COMPETENCIES

    • Is familiar with and readily embraces and learns use of new technologies, rules and systems
    • Understands payment as well as general financial processing systems, information and records, including accruals and prepayments, contract-based payments and liability recording, and principles relating to various payment platforms and systems (EFT, Cards, digital technologies).  
    • Knowledge of digital platforms including electronic wallets and virtual cards would be an added advantage.
    • Sound written and verbal communication skills (including electronic platforms)
    • Honesty, integrity and trustworthiness
    • Discretion and confidentiality
    • Proficient with electronic communication, transactioning and administration technology, tools and platforms

    Minimum Requirements

    • A Doctoral degree and be eligible to be appointed at a Professor level; 
    • A deep insight into every aspect of tertiary education, be it teaching and learning, research and innovation and professional support services: 
    • The deep insight must have been demonstrated in the ten-plus (10+) years of management experience; and
    • Candidates must also have at least five years’ experience operating at a senior management level, equivalent to the second or third or fourth tier of organisational leadership, or hold an equivalent senior academic rank or award such as Senior or Distinguished Professor.
    • A minimum of 25 (twenty-five) peer-reviewed and accredited discipline-recognised research outputs, including creative or practice-based work where applicable; 
    • Research skills should demonstrate both knowledge impact (e.g. citations, scholarly uptake) and social impact (e.g. influence on policy, practice, or community outcomes); 
    • Evidence of sustained national and/or international recognition as a leading researcher and demonstrated success in leading and securing research funding, including multi-institutional or interdisciplinary grants; 
    • Experience of having supervised or co-supervised at least five (5) Doctoral (e.g. PhD) graduates and at least ten (10) Master’s graduates, with the majority as main supervisor; and 
    • Evidence of regular dissemination of research in high-impact academic platforms (e.g. journals, keynote addresses, public scholarship). 
    • Finally, an applicant must have an NRF rating or an equivalent indicator of scholarly standing (such as election to a learned academy, editorial leadership in a prestigious journal, or recognised international awards).

    Senior Lecturer

    • The Department of Women’s and Gender Studies is one of the most productive departments in the Faculty:  Our undergraduate courses equip students to draw critically and insightfully on theoretical and methodological tools for analysing gender and sexuality in rapidly changing national and global contexts and, at third-year level, prepare students with the research, conceptual and writing skills required for postgraduate interdisciplinary studies of gender and sexuality. The Department supervises a range of postgraduate students at the Honours, Masters and PhD level, and also offers Honours and Masters degrees through coursework. The Department is research-intensive, has driven several externally funded research projects and staff publications are often cited by other academics and postgraduates.

    The successful candidate will be responsible for the following:

    • Facilitate learning and teaching at undergraduate and postgraduate levels
    • Conduct research and publish in reputable scholarly outlets.
    • Undertake undergraduate and postgraduate supervision.
    • Provide leadership within the department, as well as academic leadership and administration.

    Minimum Requirements

    • PhD that is directly relevant to Women’s and Gender Studies.
    • 3-5 years teaching experience
    • A record of quality peer reviewed publications in the field of Women’s and Gender Studies - at least 4 articles in accredited journals and/or books published in reputable presses, or equivalent recognised outputs.
    • A record of successful postgraduate supervision – at least two (2) Master’s students graduated.
    • Evidence of the integration of community engagement with learning and teaching and/or research.

    Recommendation/Added Advantage

    • A record of both local and international academic conference presentations.
    • Evidence of expertise, national standing, and an international presence in their field of research.
    • Evidence of the integration of community engagement for societal impact with learning and teaching and/or research.

    Registrar

    • The main responsibilities of the position are concerned with:  institutional governance which includes the overall management and secretariat function of the governance structures within the applicable governance and statutory frameworks; academic administration in partnership with Senate and Faculties which includes, amongst others the registration of University qualifications, the overarching responsibility for student administration from application, admissions, registration and examinations to graduation; and the management of all records associated with the above responsibilities. 

    Minimum Requirements

    • A Master’s degree (NQF Level 9) or an equivalent professional qualification. A doctoral degree will be an added advantage.
    • A minimum of ten (10) years of relevant management experience in a higher education institution, including at least five (5) years in a senior management role.
    • Senior management, in the context of UWC and the broader higher education sector, is understood to include high-ranking administrative and academic leadership roles, such as Director, Deputy-Registrar, Senior Director, Deputy Dean, Dean, or equivalent positions with substantial institutional or faculty-wide oversight responsibilities.
    • Experience may have been gained in academic administration, governance, legal affairs, or other leadership portfolios within higher education.
    • This broader definition ensures inclusivity while maintaining the requirement that the successful candidate possesses the gravitas, experience and institutional-level leadership expected of a Registrar.
    • Candidates must therefore demonstrate strategic-level leadership, even if they have not previously served as a Registrar.
    • Demonstrated experience overseeing or coordinating core academic administration functions, including admissions, registration, examinations, graduation, and records management.
    • Proven experience in developing and implementing institutional or departmental strategies, managing change processes, and effectively communicating policy decisions across diverse stakeholder groups.
