    Executive Assistant - Company Secretary

    Job description

    Office Management -

    • Act as first point of contact, representative and information source for the executive’s office, and respond to basic queries and requests for information and meetings;  Receive and welcome guests and visitors courteously and efficiently; Screen all incoming calls of the executive and divert or take messages. Respond to queries where possible on behalf of the executive in their absence; Arrange meetings, prepare agendas when required, obtain inputs from all parties concerned, and ensure that all relevant documentation is in order; Manage and maintain the executive’s schedule with due consideration of the Corporate Calendar and relevant events, demonstrating an awareness and understanding of business priorities and challenges.
    • This includes daily time management and consultation with relevant stakeholders to ensure optimisation of the executive’s time, availability and contribution; Maintain a proper system for handling the receipt and distribution of incoming and outgoing mail, emails, and publications; Maintain the ISO filing system of the department and update the ISO Quality Manual and Management Reference files; Compile performance contracts for management team members as instructed; Maintain effective and secure e-filing of documents for fast retrieval of data and information; Utilise office equipment and technology efficiently and ensure that it is maintained and functioning optimally at all times; Organize /obtain business documentation for important strategic meetings, and arrange or obtain required materials, data, and information.
    • Obtain critical business information when needed  to ensure that meetings run effectively; Arrange and coordinate local and international travel, accommodation and subsistence for the executive when required, including currency and account reconciliation; Handle highly sensitive and confidential financial, legal, personnel and institutional information exercising the required discretion; Continually review and suggest changes to office management practices in order to streamline operations and enhance effectiveness; Order stationery, refreshments, office equipment and any other necessities for the executive’s office when required; Ensure that adequate levels of the required stationery are maintained; Arrange and coordinate leadership development plans and sessions as required.

    Administration -

    • Prepare and process documents and correspondence using appropriate MS Office packages within the required timelines for review and approval by the executive:  Distribute to relevant parties,   Liaise with courier services for delivery, Follow up with intended recipients to ensure receipt thereof; Draft standard letters, memorandums and other communication as instructed;
    • Gather data and information from various sources and generate requested documents accurately and timeously; Coordinate and quality assure reports compiled by management team members and ensure timely submission to the Company Secretary; Proof-read documents when requested; Take minutes of meetings when required and distribute to all attendees;
    • Prepare a basic expense report for the executive’s office including variances to the budget on a monthly basis, monitor the flow of funds and keep the executive updated and informed; Compiling quarterly reports for business units as required; Compile ad hoc reports as required in line with relevant guidelines; Prepare correspondence timeously and as instructed for review and approval by the executive; Develop PowerPoint and Excel presentations when requested.

    Stakeholder Relations Management -

    • Establish and maintain sound relationships with all relevant stakeholders including Exco members, the divisional management team, and relevant staff and stakeholders;  Liaise with and engage relevant stakeholders courteously and competently in dealing with issues and queries, assisting with communication to and from the executive’s office, and managing incoming and outgoing instructions and responses to and from the executive;
    • Follow executive office protocol at all times,  i.e. the way things are done in terms of executive office management processes, practices, and in managing stakeholder relationships;   Ensure that the ATNS corporate identity is accurately reflected in and around the executive’s office, i.e. in brochures, booklets, stationery, etc; Liaise and interface with relevant internal and external stakeholders such as suppliers, government officials, and other executives, conveying information accurately, competently and courteously whilst maintaining the required level of confidentiality and discretion;
    • Maintain effective communication channels at all times to keep the executive informed of important issues whether in the office or travelling

    Minimum requirements

    Minimum Formal Qualifications:

    • Grade 12
    • 1-year Secretarial qualification is required 
    • 3-year Secretarial Diploma including Office Management or equivalent qualification will be an advantage

    Minimum Years of Experience:

    •   Minimum 6 years’ experience in a secretarial role

    Manager: Technology Performance Quality and Reporting

    Job description

    Quality Monitoring and Evaluation -

    •  Manage the quality and performance of systems and support the implementation of required IT communication, navigation and surveillance (CNS) initiatives, technology infrastructure, systems, etc. Manage the specialized technical analysis for CNS systems and equipment, technology advice in line with industry benchmarks, best practice for system planning and design, and the provision of expert knowledge to influence performance and architecture decisions.
    • Manage the 3rd level processes and support to technicians and junior engineers necessary for the resolution of escalated faults. Take ownership of quality and performance monitoring of CNS infrastructure through the full system lifecycle. Monitor, investigate and research performance shortcomings in CNS systems, re-design and make recommendations with regard to improvements and/or maintenance activities. Manage scripts necessary for efficiency improvement, process optimization and automation such as preventative maintenance etc.
    • Research and recommend software tools necessary for process optimization and efficiency in area of responsibility· Maintain a system fault management database in line with QMS procedures for area of responsibility. Develop and review monitoring, evaluation and reporting policies and procedures. Develop monitoring and evaluation plans for the Technology and Information department in line with the relevant frameworks and industry best practice.
    • Design and implement a TI monitoring and evaluation framework and other tools to enable accurate monitoring and evaluation of TI initiatives. Coordinate and analyze TI monitoring and evaluation reviews to assess progress against predetermined objectives and other organizational standards. Facilitate the implementation of remedial action as and when required. Evaluate performance information against the overall criteria of usefulness and reliability.
    • Evaluate, test and confirm the usefulness of planned and reported performance information in accordance with the identified performance management and reporting framework. Review user requirements and provide expert specialist input. Translate user requirements into functional specifications and detail technical design specifications. Draft submissions, recommendations and position papers on area of specialist responsibility. Participate in CNS/ATM forums such as ICAO, ITU-T reviewing specification and agenda item.
    • Implement recommendations from stakeholders. Prepare the annual performance information report 

    Technology Reporting -

    •  Create controls and processes to enable effective oversight of TI performance reporting. Report on Technology and Information governance performance to Exco and Board. Report on the performance of suppliers. Design and facilitate the implementation of monitoring and evaluation reports.
    • Audit performance information reports in accordance with the performance management and reporting framework. Provide management reports so that internal and external stakeholders are informed of performance progress as per TI requirements. Report on all the information received and explanations required and identify omissions of which may result in the reported performance information being materially misstated or misleading.
    • Oversee the process to obtain audit evidence about the usefulness and reliability of the reported performance information, including assessment of the risks of material misstatement of the quarterly and annual performance reports

    Governance, Compliance & Risk Management -

    •  Create controls and processes to enable effective oversight of TI performance reporting. Develop the TI risk framework and align to the enterprise risk management framework. Maintain the TI risk register; ensure regular review of the register to identify new risks, monitor effectiveness of controls and response plans, and recommend appropriate mitigation plans and interventions where required.
    • Ensure timely compilation and submission of all the required reports (internal and external) to ensure compliance. Monitor, evaluate and assess performance and compliance with external requirements. Ensure compliance with ATNS QMS requirements. Ensure compliance with SACAA and ICAO requirements. Comply with the ATNS OH&S plan. Lead internal and external audit engagements to assist TI teams and auditors to conduct efficient audits. Drive and report on remediation of reported findings against committed dates 

    Stakeholder Relations Management - 

    • Develop and manage the strategic relationships with key Technology and Information monitoring, evaluation and reporting on product and service providers. Monitor SLAs with relevant departments to ensure business expectations are managed. Manage and provide regular reports on SLA compliance whilst identifying areas of inefficiency.
    • Develop, implement, and communicate the function’s policies and procedures to enable efficient and effective delivery of monitoring, evaluation and reporting.

    Financial Management - 

    • Provide input into the development of the IT budget. Manage expenditure in line with business needs and priorities, and within set financial parameters. Ensure efficient utilization of the approved budget in compliance with Finance policies and processes. Report expenditure as well as deviations to the budget on a monthly basis. Identify and prevent irregular and fruitless and wasteful expenditure. Provide the required supporting documents to enable effective auditing processes

    People Management - 

    • Manage employees in accordance with Human Capital policies and processes. Ensure that new employees have been properly on-boarded prior to commencing work.     Minimum Qualifications:

    Minimum Years of Experience: 

    • Minimum 5 years’ experience in technology planning, governance, monitoring, evaluation, and compliance is required, of which at least 3 years must be at a managerial level

    Manager - Technical Support Regional Services

    Job description

    • Provide continuous serviceability and availability of all ATNS VSAT systems to the Service levels agreed to with SADC and NAFISAT Supervisory Boards.
    • Developing and implementing defined preventative maintenance plans for all VSAT equipment and infrastructure in the AFI region.
    • Proposing revisions to logistic support plans where required.
    • Implementing immediate remedial action plans in the event of critical failures (Crisis management) Maintain close liaison with the operations environment and SADC and NAFISAT clients to schedule and execute critical corrective restorations and preventative maintenance activates.
    • Providing information on critical system status to relevant stakeholders
    • Coordinating resource and task management activities with other technical centers, SADC, NAFISAT, AFISNET and ASECNA to ensure required level of support is maintained.

    Job description

    Management of Technology Governance - 

    • Develop and implement the IT governance model, methodology, policies and processes in collaboration with relevant stakeholders and subject matter experts. Contribute to the development of the ATNS CNS strategic Full Life-Cycle Management strategy, taking account of related global trends and developments while minimizing risk. Determine and quantify the ATM community CNS and ATM technology needs for incorporation into ATNS CNS planning and CAPEX processes.
    • Develop the Technology governance framework to support and enable the IT department. Develop, review and updating of all IT policies, procedures, and standards, involving relevant TI Heads.     • Develop and implement proper controls for governance processes in the use of technologies within the organization.     Manager: Technology Planning Continuity and Ops Systems

    Job description

    Technology Service Continuity - 

    • Define standards, control and audit governance for IT Service Continuity planning and execution across ATNS and ensure that there are clear plans for service recovery in the event of a crisis. Coordinate the annual Service Continuity tests ensuring these are undertaken, documented appropriately and reports on the risks associated with any deviations from the test plan.
    • Support the delivery of Service Continuity processes across the TI environment and work with key suppliers in order to ensure that they are delivering appropriate Service Continuity in order to support critical ATNS services. Support assessment of the business criticality of systems, and works collaboratively with the Business Continuity Team to ensure that Service Continuity and Business Continuity plans and tests are aligned and inform each other 

    Testing, Review and Improvement - 

    • Improve and present the Service Continuity Test Schedule to the Business Continuity Team and any related governance structure. Report on any exceptions to the Schedule and raise the relevant risks as necessary to inform the compliance reporting processes. Review change proposals for ATNS to ensure that Service Continuity arrangements are included, and tests are planned as part of the process.
    • Review project proposals to ensure costs are built into business cases for future Service Continuity and Business Continuity tests associated with the project. Understand service Risk appetite and associated RPO/RTO for ATNS’s critical services. Support each Service Continuity Testing team to produce a set of improvement measures (as required) following each Service Continuity Test. Track all improvement measures across the Service Continuity Testing regime and feed any outputs into reporting to relevant governance structures.

    Disaster Recovery /Business Continuity Planning -

    •  Develop and continually review the TI Disaster Recovery Plan and test Disaster Recovery preparation, execution and report distribution. Ensure that DR (disaster recovery) plans are complete, consistent and up to date and relevant to the delivered services in scope. Ensure that DR Plans meet the required standards and quality level. Ensure that DR tests for customer specific services are executed and test reports documented. Maintenance of the DR plans and associated documentation in the respective repository. Trigger necessary tests and assist in the execution and documentation. Contribute to DR capability and process enhancements

    Operations Systems - 

    • Ensure that the ATNS ATM systems are efficient and optimal for delivery of ATC/cns/ATM services. Implement system capacity forecast models based on utilization trends. Ensure proper planning for capacity expansion projects as well as support the change control process. Obtain the input required from technical maintenance services to analyze and make recommendations on all operational system escalated faults and potential problems on system performance.
    • The continuous, monitoring and maintenance of operational processes, to stay abreast with new concepts, and ensure that operational processes are aligned with disaster recovery processes and procedures. Develop, manage and maintain critical standard operating procedures to be used for operational systems

    Governance, Compliance & Risk Management -
