Duties and Responsibilities:
Student Application & Admission Administration
- Collaborates with the campus Student Recruitment team to generate student admissions related queries
- Follows up with the Student Recruitment team for missing student information in order to finalise all student admissions related queries.
- Evaluates student admissions against the set admission criteria and communicates the appropriate outcomes.
- Liaises with the campus Student Recruitment team during the admission evaluation process and assessment.
- Escalates admission queries to the Admissions Manager.
- Liaises with the campus Student Recruitment team on the management of admission waitlists.
- Liaises with the campus Student Recruitment team on the management of declined admissions and expired offers and the issuing of new offers of study.
- Documents management and issuance of appropriate admission letters.
- Determines conditions associated with student admission and follows up on them thereafter.
- Determines the eligibility of the admittees onto academic programmes.

Student Registration Administration
- Applies necessary holds on student accounts based on outstanding documentation or conditional admissions
- Verifies registrations against the admission criteria.
- Responsible for completing all School of Education counselling documentation prior to admission approval to ensure students are registered for the correct FAL/diadactic modules. All counselling documents must be uploaded to the applicant profile before admission is approved
- Manages the new student transfer process in conjunction with Head: Student Recruitment, Marketing Assistants and other relevant stakeholder, and thereafter sends to the finance department for processing (from admission to registration).
- Processes new student SLP & NQP registrations as required by Head: Student Recruitment
- Takes ownertship of the external credit application process for new students once application has been submitted - supports student with application to the Hub and responsible for follow up until outcome is received by student
- Checks the National Senior Certificate (NSC) exception reports on a weekly basis.
- Follows up on all outstanding documentation and uploads once received.
- Ensures compliance of international students from a document perspective.
- Adheres to the International Student Policy/Procedure and updates reports regularly.
- Re-audits all registration files in line with the stipulated deadline for the Data Verification Report.
- Re-audits all registration files by the audit date stipulated by the Registrar, this would include the following; the South African Qualifications Authority SAQA / Universities South Africa (USAF) qualifications, study visas and all conditional acceptance - including remarks, international Students and all outstanding documentation.

Duties and Responsibilities:
Laboratory technical support
- Preparation of laboratories for practicum classes, including preparing all equipment and consumables
- In collaboration with the lecturer provide guidance and support to students during classes, and packing away and cleaning all equipment after classes
- Oversee all Engineering Facilities and the installation of new equipment/services in the laboratories
- Assist academic staff with various research projects that require the use of any of these laboratories
- Prepare and maintain inventories of laboratory equipment and consumables

- Communicates with Procurement and Finance Departments to arrange all logistics for students and staff (including the Engineering Student Societies) to visit various locations

Sport Coordination
- Manage the registration process of the VC Sports Club and ensure all students are provided the opportunity to participate in sporting activities on campus, pay the annual VC Sports Club fees
- Manage the VC Sports Club for the Pietermaritzburg Campus and drive and monitor student participation across all sports clubs on campus

Management of PR Related Service Providers
- Identifying and selecting campus service providers which will provide services for the PR portfolio.
- This includes and is not limited to photographers, printers, sound technicians etc.
- Brief campus photographer and liaise with other campus staff to ensure an even spread of sport, social, academic, cultural and community engagement events are effectively photographed
- Manage the campus photography including supply to national office, press and online media. " Manage the registration process of the VC Sports Club and ensure all students are provided the opportunity to participate in sporting activities on campus, pay the annual VC Sports Club fees
General Administration
- Compiling annual and monthly events calendars
- Compiling reports after major events
- Managing the campus PR budget
Events Management
- Ensure the planning and implementation of comprehensive and balanced social, cultural and community engagement brand relevant events both on and off campus that will in turn positively impact on the marketing of the campus to prospective students
- Provide accurate reporting of all social ,cultural and community engagement events within the time frames provided
- Management of the internal advertising for all social, cultural and community engagement events
- Build relationships with third parties to ensure access to practical venues for all events and to ensure sponsorship opportunities and prizes for all major campus events including CSI initiatives and fundraising events
- Assist with National events as and when needed
Team Support
- Assist the Head - Student Experience and Student Wellness Manager (SWM) in running community engagement and awareness campaign events on and off campus. Alternatively, plan and implement community engagement and awareness campaigns where a campus does not have a SWM
- Support the Academic Operations Centres of Excellence with events such as graduation
- Offer support related to Public Relations to other departments that may need it, when requested by a senior manager
Social Committee Management
- Recruitment and management of the Social Committee to encourage student participation to ensure students receive a full and well-rounded experience at The IIE's Varsity College
