    Temp Receptionist and Leasing Administrator - Golden Acre Shopping Centre

    Duties and responsibilities

    • Answering of Telephone calls, taking messages, sending emails to staff, and updating telephone speed dial list.
    • Assisting contractors validating parking tickets.
    • Assist walk in customers with any queries/ complaints.
    • Maintain a neat and clean reception area.
    • Checking of statements and assisting with any queries from suppliers.
    • Checking of all tenant charges (electricity, sewerage, water, rent, operations, marketing, and rates) monthly on the forward statements.
    • Checking of rental guarantee wording.
    • Taking minutes of the weekly staff and contractors’ meetings and distributing of the minutes to the service providers and relevant staff.
    • Drafting management meeting minutes from recording for CM to check and approve.
    • Manage Petty Cash, complete schedules for re-imbursement.
    • Stationery ordering and issuing of order numbers for quotes.
    • All filing for Centre Manager, administration and operation departments
    • Prepare lease cover letter to tenant for copy of lease sent as well as stock take notices for windows.
    • Ensure Tenant and Contractor databases are up to date.
    • Collecting of all tenant turnovers and capturing on system, following up with tenants in respect of any discrepancies, completion of the top and bottom 20 report and contacting tenants for outstanding turnover certificates.
    • Assist with IPD data input and checking.
    • Compile monthly trading density letters and send to tenants by the 20th of each month.
    • Maintain Insurance schedule and ensure claims history is filed
    • Preparation of tenant parking agreements, access cards, parking queries and updating the tenant parking register monthly and emailing to Parking Management Company
    • Delivering of memos and assisting staff members with miscellaneous tasks.

    Requirements

    Experience

    • At least 2 years of experience in a documentation and secretarial environment or similar, preferably in a property environment
    • Knowledge of shopping Centre/property management will be an advantage.

    Qualifications

    • Grade 12
    • Post Matric qualification advantageous.

    Temp Property Administrator - N1 City Mall

    Duties and responsibilities

    • Prepare analysis comparing actual income versus budget and variance comments
    • Drafting of offers for upcoming expiring leases within the following 6 months and new deals
    • Liaise with potential new tenants regarding vacancies
    • Ensuring that all documentation procedures are correct and manage outstanding leases and tenant correspondence
    • Draft guarantee template, liaise with bank or tenant to ensure accuracy and acceptability of guarantee before processed by the bank
    • Ensure required credit checks are completed for all new/renewal tenants
    • Maintain an accurate tenancy schedule
    • Collect and check audited turnover certificates and prepare monthly report 
    • Complete monthly turnover schedule and quarterly IPD schedule
    • Check adjustments and adhoc charges on MRI (Mustard Seed, SB Outdoor, Adreach, etc)
    • Check new rates and back charges and draft rates increase letters with calculation details
    • Assist CM with the monthly management report i.e. Mall performance, Leasing, Finance, Arrears
    • Assist the CM with preparing and capturing of the building budget
    • Credit Control - Assist with collection of debt, ensure accurate allocation of payments, resolve debtor queries, recon on accounts, debtor adjustments, liaise with attorney for legal matters
    • Conduct pre billing checks and advise meter readers of any changes and check monthly utility reports for large variances and movement
    • Check EFT/Debit Order Listing before Run
    • Check creditors invoices for accuracy
    • Assist Centre Managers and Portfolio Managers as and when required

    Requirements

    Qualifications & Experience 

    • Post matric qualification in Property Management or equivalent diploma/degree
    • Minimum 5 years of experience in property management, administrative and or client interaction roles required
    • Knowledge of property management is an advantage
    • Knowledge of leasing process, financial processes, shopping centre operations essential
