    Assistant Finance Administrator - (Five Months Fixed Term Contract)

    KEY PERFORMANCE AREAS 

    • Provide Support to internal and External Stakeholders
    • Advising the Contract Administrators in terms of uploading the required documents on to paper trail (DG);
    • Attending to queries from internal and External stakeholders within 48 hours;
    • Ensuring that if there is a problem with regards to the claims, chambers and units are notified in time.

    Finance Administration

    • Capturing of invoices onto SAGE X3 for DG and Admin claims;
    • Creating Payment batches on SAGE X3;
    • Preparing the Finance payment journal;
    • Allocating the GL account numbers to different payment requisitions from the chambers and units;
    • Ensuring that standard bank proof of payment are extracted and forwarded to the relevant chambers or units;
    • Assisting in preparing the Creditors reconciliation;
    • Assisting in the filing of all finance documents;
    • Assist in the audit process;
    • Assist in performing bank reconciliations;
    • Perform Asset verification and asset tagging;
    • Assist in all other reconciliations and finance related duties.

    RFP System and Project Module

    • Verifying and Capturing of Admin Payments on RFP system and Project payments on SAGE X3;
    • Verifying the DG Contracts Deliverables on paper trail.

    Personal development and Reporting

    • Completion of performance appraisals timeously;
    • Ensuring continuous development in the finance field;
    • Transferring of knowledge to other Finance team members;
    • Ensure submission of reports timeously. 

    Requirements

    MINIMUM REQUIREMENTS

    Experience and Qualification

    • M+ 3 in finance or relevant tertiary qualification;
    • Minimum: 1 years in finance related roles; 
    • Public sector experience will be an advantage;
    • Knowledge and understand of accounting systems.

    Finance Administrator

    KEY PERFORMANCE AREAS

    Provide Support to Stakeholders

    • Ensure that Administration, Discretionary, claims are processed and paid within 30 days as prescribed by PFMA;
    • Ensure Payment verification and capturing on SAGE RFP system;
    • Ensure payment queries are communicated timely to the implementing units;
    • Attending to queries from internal and External stakeholders within 48 hours.

    Finance Administration

    • Performing physical verification of assets and maintaining a database of all fixed assets on the red beam assets tracking system;
    • Planning for Asset Verifications and making all necessary travel arrangements;
    • Maintaining and updating the Fixed Asset Register;
    • Assist in the compilation of GRAP compliant Financial Statements;
    • Preparing Leave Provision and Leave accrual Journals Monthly;
    • Clearing of outstanding invoices on the Creditor age analysis;
    • Assist management in preparing audit files (internal and external) and responding to queries;
    • Monthly preparation and reconciliations of Accounts Payables’
    • Ensure proper filling and records managements for ease retrieval;
    • Creating new vendors and capturing banking details on SAGE X3;
    • Creating of ETF Batches on SAGE X3 and loading on Standard Bank;
    • Preparation of weekly bank reconciliations on SAGE X3;
    • Weekly, Monthly reconciliation of the Travel account;
    • Any Other Adhoc duties.

    RFP System and Project Module

    • Approve invoices on RFP system;
    • Report errors on the system.

    Manage Personal and Staff-Performance

    • Completion of performance appraisals timeously;
    • Transferring of knowledge to other Finance.

    Requirements

    MINIMUM REQUIREMENTS

    Experience and Qualification

    • M + 3 qualification in accounting/Finance; 
    • 3 years’ experience in an accounting environment; 
    • Public Sector experience will be an added environment;
    • Knowledge and understanding of SAGE X3, SAP, Pastel and Advanced Excel.
