    Snr Admin Officer: Office of the CEO – Pretoria

    REQUIREMENTS:

    • A registered 3-years National Diploma or Degree
    • Minimum of 2 years working experience in administration
    • Basic understanding of Departmental policies
    • Clear understanding of office administration activities and processes
    • Knowledge of PFMA
    • Knowledge of Public service act and regulations
    • Knowledge of applicable directives 

    DUTIES

    • To provide secretarial and office administration services to the Chief Director
    • Diary Management, meetings, events, and correspondence
    • Screen appointments before scheduling them in professional and courteous manner
    • Reschedule appointments using direction when an urgent or important meeting take precedence
    • Record the engagements of the senior manager
    • Respond to queries
    • Compile and coordinates documentation for meetings as requested
    • Arrange and coordinate meetings, workshop, seminars, and other similar events (as and when required) and prepare relevant packs
    • Notify carious stakeholders of events scheduled by the Chief Directorate
    • Notify relevant stakeholders of changes to appointments or meetings professionally
    • Make logistical arrangements as required (including procurement processes)
    • Arrange traveling and accommodation for Chief Director, prepare travel packs and process claims accordingly
    • Assist with procurement and payment processing as required
    • Provide secretariat for Chief Directorates meetings and follow up on matters arising 

    Administration Support

    • Capture and file all incoming and outgoing documents and information into manageable and retrievable systems (electronically and manually)
    • Ensure the updating of Chief Directorate strategic information on the intranet/relevant platform
    • Coordinate and quality assure submission of strategic reports (PMDS, Annual Reports, Strategic plans, Audit reports, etc.) within the specific timeframe
    • Draft, edit and format documents such as submission, memos, letters, presentations, etc. using Departmental Templates
    • Order office supplies as needed
    • Maintain an inventory of office equipment’s for the Chief Directorate and liaise with necessary personnel for maintenance and replacements
    • Keep an up-to-date list of contact numbers for the Chief Directorate 

    Budget administration Support

    • Expenditure monitoring for the CD
    • Collect and coordinate all the documents that relate to the managers budget
    • Assist manager in determining funding requirements for purposes of MTEF submissions
    • Keep record of expenditure commitments, monitors expenditure is allocated correctly
    • Checks and correlates BAS reports to ensure that expenditure is allocated correctly
    • Identifies the need to move funds between items, consults with the CD and compiles draft memos for this purpose
    • Compares the MTEF allocation with the requested budget and informs the CD pf changes 

    Project administration support

    • Develop and maintain a database on CD projects
    • Coordinate progress update with relevant components and follow-up on outstanding tasks
    • Provide administrative support in the implementation of the TOR
    • Provide advise to the CD on challenges for further interventions

    Grant – Principal Medical Scientist – Ialch

    Responsibilities

    • Independent research and managing a research group, producing complex and scientific reports and responsible for overall management of multiple research projects, interpretation, techniques, and procedures
    • Develop and implement proposals/protocols/new technologies/new approaches
    • Publish peer-reviewed articles
    • Training and formal supervision of staff and students at all levels (including intern Medical Scientists and Medical Technologists; including development, delivery and evaluation of training programs and/or other tools
    • Local and national invited/appointed membership to scientific committee
    • Evidence of national in international conference and other research group activities for at least 3 projects
    • Decides on specialised knowledge to advise medical professionals on appropriate testing and interpretation of results
    • Oversees and trains staff
    • Recognised nationally in terms of diagnostic expertise or specialist in a field
    • Manages, monitors, controls stock, workflow, and turnaround times
    • Management of quality systems including the implementation of appropriate quality assurance procedures, audit the Quality Control (QC) results and takes the appropriate action
    • Manage SANAS accreditation requirements

    Minimum requirements and Key competency

    • Mcs or equivalent in Medical Science in relevant field/PHD (NQF 9)
    • 5 Years relevant experience as Scientist
    • At least 1 year management experience
    • At least 2 years’ experience in next generation sequencing
    • Registered with HPCSA as medical scientist (Virology)
    • Knowledge of laboratory instrument

    • Perform basic and advanced analysis and interpretation on data produced from next generation sequencing systems (e.g. Roche 454, Illumina, or Ion torrent platforms) as well as develop, improve, modify and operate data analysis pipelines.
    • To conduct and initiate research in NGS data analysis
    • Work closely with researchers and collaborators to generate/provide data analysis project reports and perform custom analysis as requested.
    • To participate in training employees/staff with bioinformatic skills and build confidence amongst users to analyse and understand their own data resulting in improved and effective research outcomes
    • To perform a total Data Quality Management of the facility which involves the implementation and monitoring of systems to ensure accurate and reliable results, cost control, quality and service
    • Responsible for overseeing and monitoring of software tools and data resources to ensure smooth operation of the sequencing facility
    • To develop and implement costing model for Bioinformatic solutions
    • To maintain hardware and software infrastructure
    • To establish strong collaborative links with experts in bioinformatics

     Minimum requirements and Key competency

    • Mcs in Molecular Biology or Related discipline (NQF 9)
    • Mcs in Bioinformatics and PHD (desirable)
    • 6 years’ experience with next generation sequencing data analysis
    • Experience with the relevant sequence analysis tolls/best practices
    • Background or experience in molecular biology or microbiology
    • Experience with working in a Linux/Unix environment (Desirable)
    • Strong bioinformatics analysis and scripting experience including proficiency with a scripting language (e.g. Python, Java, Perl)
    • TCP/IP knowledge will be an added advantage
    • Project Management, financial management and costing skills
    • Have proven ability in formulating and/or implementing high-level bioinformatics solutions
