Minimum Requirements

• Grade 12 essential
• Post matric administration or secretarial qualification advantageous
• Experience in security & mining sector required
• Minimum 3 years administration and experience in payroll , debtors, creditors, personnel files and report writing.
• Basic to intermediate understanding of financials ( previous experience beneficial)
• Operationally minded ( previous experience beneficial)
• Computer Literate (MS Office Suite) Word, Excel and Power point (intermediate level)
• Strong Communication Skills - Written, Oral, Email, Telephone etiquette, and presentation.
• High level of accuracy and attention to detail.
• Deadline driven
• Be able to multi-task
• Ability to work under pressure
• Strong problem solving ability
• Positive attitude and service driven

Duties & Responsibilities

• Reporting – daily fatigue summary; onsite count; night shift; clocking; access; receptionist registers; month end figures on posts, visitor and contractor information etc.
• Management of alcohol positive tests – Scan, record and file
• Manage Hsec online system
• Colleagues, contractor and stakeholder management including but not limited to access; appointments; loading of information; induction; parking permits; queries.
• Collection of Bus registers
• Create job cards when required
• HR – create, manage, maintain all colleagues' files
• Ordering of stationery, equipment & uniform
• QMS files
• Management of fuel slips (Weekly), posting sheets (Daily) and checklists (Daily) and send to relevant stakeholders
• Booking of medicals for security colleagues, submitting thereof and booking of COF
• Telephone calls and taking messages
• Any assistance required from Xtime
• Assist with PPS/PDS when required
• Assist with site specific tests/documents
• Assist with Prism screens based outside security
• Assist Contractors Office when required
• Assist with functions, campaigns & meetings when required
• Supply information and documentation when required
• Marking as assessor or moderator for SWP’s/COP’s etc Scanning, uploading and filing
• Marking site knowledge tests and filing.
