    Business Application Manager-CRM

    Business Analysis

    • Analyses past, present and future business environment in area of responsibility
    • Analyses business processes to determine problems, risks and opportunities for improvement, in area of responsibility
    • Keeps up to date with legislation and identifies operational changes required to ensure compliance and improve efficiency 
    • Records business requirements and prioritises system changes with Brands
    • Reviews processes and conducts process audits, as required.
    • Designs and documents new business processes where necessary
    • Works with managers and relevant users on feasibility studies and establishing business and systems requirements
    • Formulates strategies and guidelines to improve the business environment in area of responsibility
    • Consults to management (both IT and business) on business procedures and policies

    Application Development, Support & Testing

    • Manages application support effectively and efficiently rendering support and facilitating sessions for end-users, including training
    • Accountable for system testing and user acceptance and implements changes to existing systems or new applications
    • Ensures all testing protocols are adhered to
    • Manages the analysis of requirements ensuring thorough investigation and understanding of business needs and processes and the comprehensive definition thereof

    Stakeholder Management

    • Liaises with the relevant Information Technology (IT) stakeholders to troubleshoot and resolve issues
    • Ensures that outside vendors, suppliers and service providers (internal & external) and contractors are effectively managed.
    • Oversees the setting up and monitoring of, Service Level Agreements (SLA's) and Operating Level Agreements (OLA's)Ensures appropriate service levels of support and capacity are in place to meet business demand/requirements
    • Provides continuous service and systems security pertaining to applications
    • Provides accurate up-to-date reporting of all support related expenses including per customer expenditure of respective support budget
    • Initiates customer service review meetings with the various Brand
    • Records business requirements and prioritize system changes with Brands
    • Provides business with a monthly review of services provided and status of planned changes and enhancements.
    • Handles escalations from business and is the lead with regard to Problem Management and work with the IT Operations / Problem Manager
    • Negotiates SLAs and OLA's with suppliers and the business
    • Attends and reviews management meetings with brands, monthly
    • Documents and agrees processes and procedures in place
    • Communicates and coordinates tasks and projects with campus IT staff
    • Coordinates system integration processes with internal departments as well as outside vendors

    Financial Management Cost Control & Reporting

    • Reduces costs related to IT Application Support delivery in area of responsibility
    • Monitors the monthly billing from vendors in area of responsibility
    • Approves expenses in area of responsibility
    • Provides input to Departmental budget and monitors and manages costs in area of responsibility
    • Provides reports regularly to Senior Management, Stakeholders and Brand Management as required
    • Gives consideration to ways to increase efficiencies and optimize resources in area of responsibility and makes recommendations to the Enterprise Application Manager

    Project & Risk Management

    • Acts as the Project sponsor for projects and implementations in area of responsibility
    • Provides specialist product and/or subject matter expertise to the project teams working across the business.
    • Follows up on escalations ensuring issues are resolved appropriately and timeously
    • Collaborates with the respective line managers within the ICT Operations, Business Applications, Enterprise data and enterprise architecture teams to deliver on projects
    • Works with the project manager to ensure that deliverables for the team are defined and that the project manager can drive delivery with the virtual team members
    • Ensures risks are identified, assessed and monitored and mitigating actions are implemented

    Human Resource Management

    • Leads and motivates direct reports to achieve agreed objectives
    • Ensures adequate and appropriate human resources are in place to deliver the business objectives
    • Sets performance objectives for staff, conducts appraisals and initiates EDWs
    • Draws up action plans to address poor performance
    • Establish and keep up to date a succession plan for the team
    • Ensure that staff attend regular training to ensure that they meet the requirements for their role and keep up with the maintenance thereof.
    • Ensure sufficient capacity and success planning in their area of responsibility.
    • Institute monthly reporting sessions for team leaders to track progress and compliance of systems and work done
    • Onboarding and transition to new ways of working for new and existing staff

    Education (Formal Qualification required)

    • Diploma or Degree

    Application Support Team Lead- CRM

    • Responsible for ensuring quality customer interactions and for improving the experiences customers have with the Application, with the goal of increasing customer satisfaction that will result in retention and acquisition strategies being achieved and maintained.

    Application and User support

    • Ensures applications/systems integrations are operating at agreed SLAs(Uptime) to facilitate the successful execution of business transactions
    • Ensures a stable performance environment for the business application system
    • Identifies and resolves applications and systems problems.
    • Leads out troubleshooting and resolution of Major Incidents. Facilitates maximum Incident Response procedures.
    • Provides direct support and coaching to all levels of managers and supervisors as they help their direct reports through transition and supporting at campus level.
    • Ensures that L1, L2 and L3 service desk agents are equipped and capacitated to support during critical business cycles.
    • Tracks and communicates user related issues with Brands during feedback meetings.
    • Analyses and embeds procedures based on past & present business cycles and mitigate risks to ensure effective and timeous service delivery.
    • Collaborates with the Business Application Manager/s in ensuring processes are embedded and followed.
    • Identifies and communicates, in collaboration with Application Support staff and risks, trends and possible solutions to the BAM.
    • Supports brand to embed best practice on business processes and resolution of issues at campus level.
    • Commissions, produces & administers Knowledge base articles arising from calls, applications and systems support
    • Develops, publishes, shares and maintains support documentation for other colleagues within the application to drive a consistent and effective customer experience

    Application Monitoring & Testing

    • Monitors incidents and ensures resolution within SLA
    • Handles escalations from business and is the lead with regard to Incidents

    Stakeholder Engagement

    • Ensures proactive communication, via e mail, takes place to inform all stakeholders (Internal and Business) of:
    • Brand specific trends in regards to incidents logged
    • Provide possible solutions to resolve issues effectively and quickly.
    • Status of major incidents, quantities and possible plans in resolving issues.
    • Instance upgrades(Down Time).
    • Prepares and/or disseminates announcements through dedicated MS Teams channels, as necessary
    • Supports the BAM with monthly reports on call numbers, resolved, pending, open, major issues/incidents/problems.

    Project Participation

    • Participates in various IT projects intended to continually improve/upgrade the systems and applications.
    • Plans and assists with IT and systems projects to ensure optimal delivery and minimal disruption and or downtime.
    • Liaises with other teams and team members within AIT to ensure the delivery of- projects are done on time and within the parameters of best practice set out by AIT and governance.
    • Participates in change control and other project-based governance forums to ensure AIT standards are followed and adhered to.

    Continuous Improvement

    • Proactively researches and locates necessary tools and processes to identify and avert systems and applications service depletion. Ensures continuous optimization of systems/ application performance
    • Facilitates the implementation of new or enhanced processes.
    • Stays up-to-date with the latest trends and technologies in system administration and recommends changes and improvements to existing infrastructure

    Business Analyst Tech Ed

    Responsibilities: 
    Business Analysis

    • Analyses past, present and future business environment.

    • Works closely with systems analyst, other Business analysts, project support analyst, project and work delivery manager to design and implement solutions within constraints.
    • Investigates and defines requirements for business processes. Identify opportunities to improve process and reduce waste.
    • Facilitates the implementation of new or enhanced processes.
    • Provides support and facilitates sessions for end users, e.g. training.
    • Consult and engage with business process owners, managers and relevant users on feasibility studies and establishing business and systems requirements. This needs to be done proactively. Proactively communicate and collaborate various teams to analyse information needs and functional requirements to deliver the following artefacts that are needed:
    • Business/functional requirement specifications
    • Wireframes

    Specialistaion Area (Subject Matter Specialist)  - Tech Ed  

    • Responsible in primary role for providing in-depth knowledge to the educational functional applications.
    • Providing ongoing business process mapping for Change Request impact on the system.
    • Participate in training programmes in such a manner that the affected stakeholders have the required knowledge to make optimal use of the Group Business system.
    • Knowledge of LMS, SIS and Educational systems
    • Educational environment (Tertiary or Primary / High School (K12)) processing experience
    • Excellent communication skills and business acumen.
    • Maintain LMS data tools, reporting, integrations and dashboards.
    • Produce and deliver standard (monthly, quarterly, and annual) and customized LMS reports.
    • Respond to LMS data requests on an ad hoc basis by gathering, analyzing, and reporting relevant data from various sources.
    • Partner with Academic Teams on system upgrades and analyses.
    • Responsible for addressing a high volume of system-related activities in a timely fashion while maintaining a high level of quality and internal customer satisfaction.
    • Experience with Microsoft SQL, Power Apps, PowerBi, DevOps and Azure is advantageous.

    Solution Design & Implementation & Specifications Development

    • Works closely with the systems analyst, analyst programmer, project support administrator, other Business Analysts and project/work delivery managers to design and implement the best possible solution within the constraints of the tools available.
    • Facilitates the implementation of new or enhanced processes. Business processes would be designed and implemented by the BPO, however the business analyst would take these requirements and understand how to flex the technology to enable the process.
    • Responsible for systems, user acceptance testing and implementation of changes or new applications. 
    • Investigates and defines requirements for business processes.
    • Documents requirements including data modeling, interface layouts, data flows, screen and report layouts, etc. 
    • Document defects.
    • Document system enhancements.
    • Manage change control process and quality assurance
    • Leads design of reporting and dashboards. Extracts, validates, and analyzes desired data. Consults with leaders to establish data metrics needs.

    Systems Testing

    • Owns systems, user acceptance testing and implementation of changes or new applications.
    • Review the test plan and test scripts to ensure quality and coverage
    • Tests systems and user acceptance and implements changes or new applications
    • Ensures all testing protocols are adhered to.
    • Test automation processes
    • Creating Release notes

    • Provide front line support to end users responding to issues related to Problem/Incident Management, Release/Deployment, Operational Readiness, Application Monitoring, Production Governance related to issues.
    • Renders support and facilitates sessions for end-users, including training
    • Provides direct support and coaching to all levels of managers and supervisors as they help their direct reports through transition.
    • Carryout activities related to incident and problem management.
    • Conduct root cause analysis and dispatch to scrum teams for resolution.

    • Functional Knowledge of content creation, functionality and features of LMS/s.
    • Professional certifications are an added advantage however should a candidate have a proven track record of work within the listed key performance areas, the qualification requirement may be reduced.
    • Firm understanding of ITIL processes is advantageous.
    • Experience with Power Apps and PowerBi, is advantageous
    • Experience with Microsoft SQL, DevOps and Azure is advantageous
    • BABOK (Business Analysis Body of Knowledge).

    Experience Required: 

    • 2 to 5 years - Business Analysis.
    • 1 to 3 years - Teacher / Lecturer.
    • 1 to 3 years - Experience in management at a team leader or above level.
