    1770 - Payroll Specialist

    • We are looking for a knowledgeable Payroll Specialist who will be responsible for managing and coordinating all aspects of payroll processing and administration. The Payroll Specialist will play a vital role in maintaining payroll compliance, resolving payroll-related inquiries, and contributing to the overall efficiency of the HR and Finance departments.

    Payroll Specialist responsibilities are:

    • Efficient processing of the monthly payroll
    • Execute end-to-end payroll transactions for all employees, including data entry, calculation, and reconciliation of salaries, benefits, and deductions. Ensure accurate and timely submission of payroll information.
    • Manage and coordinate payroll cycles, ensuring timely and accurate payment of salaries.
    • Validate and reconcile payroll data to maintain precision and compliance.
    • Ensure all payroll schedules are timeously sent to the relevant line managers for review and approval
    • Ensure all final schedules are sent timeously to the CFO for approval.
    • Efficient processing of the monthly payroll
    • Ensure compliance with tax legislation and other statutory obligations related to payroll processing.
    • Prepare and submit accurate and timely reports to regulatory authorities.
    • Ensure all statutory, compliance, and company benefit payments are made accurately and timeously.
    • Stay abreast of South African tax regulations, labor laws, and other statutory requirements relevant to payroll.
    • Taxation and reporting
    • Prepare and submit relevant tax-related documents, such as IRP5 certificates, EMP201, and other payroll-related reports to authorities.
    • Compile and analyze payroll data for internal reporting and auditing purposes.
    • Benefits Administration
    • Administer employee benefits, including medical aid, retirement funds, and other statutory and voluntary deductions.
    • Address employee queries related to benefits and deductions.
    • Investigate and resolve payroll discrepancies and issues in a timely manner.
    • Record keeping & compliance
    • Maintain accurate and up-to-date payroll records, including employee data, leave balances, and attendance records.
    • Generate and analyze payroll reports for management review and decision-making.
    • Respond to internal and external audit inquiries related to payroll records.
    • Query resolution
    • Respond promptly and professionally to employee inquiries regarding payroll calculations, deductions, leave balances, and related queries.
    • Provide clear and comprehensive explanations to assist employees in understanding their compensation.
    • System Maintenance
    • Respond promptly and professionally to employee inquiries regarding payroll calculations, deductions, leave balances, and related queries
    • Identify and resolve system-related issues in collaboration with relevant stakeholders.

    Payroll Specialist requirements are:

    • Relevant certification or diploma in Payroll Administration or related field will be advantageous.
    • A minimum of 5-8 years of experience in payroll processing and administration, preferably within a medium-sized organization.

    Payroll Specialist skills required:

    • Proficiency in payroll software (Payspace) and tools, with a good understanding of HRIS systems.
    • Microsoft Office Excel (Advanced)
    • Payroll software
    • Strong organizational skills and attention to detail to ensure accurate and timely processing of payroll
    • Analytical thinking and problem-solving skills to identify and resolve inconsistencies and discrepancies in payroll data.
    • Ability to handle confidential information with discretion and maintain the highest levels of integrity.
    • Excellent communication and interpersonal skills.
    • Relevant legislation and regulations.
