    Finance and Office Manager

    Job description

    Oxford Policy Management (OPM) is seeking to recruit a full-time Finance and Office Manager to join our office in Pretoria, South Africa.

    Acting as a main point of contact for financial matters in the office, the Finance and Office Manager will be responsible for ensuring smooth operations, utilising appropriate accounting control procedures, liaising closely with OPM Oxford. They will also be responsible for providing effective business services within the South Africa office.

    The two main focus of the role are finance management and office and general management

    • Finance Management
      • Finance Management will constitute the main part of the role. It includes responsibility for finance operations, policies and procedures for the Office, ensuring consistency with all internal policies processes and procedures including:
      • Responsible for proper maintenance of office accounts, keeping them up to date to a high degree of accuracy for all figures, postings, and documents in compliance with established policies and procedures.
      • Prepare and upload journal entries into accounting system
      • Maintaining appropriate financial control system and procedures.
      • Ensuring the financial statements are prepared in accordance with international accounting standards.
      • Preparing and sending monthly cash flow requests to OPM Oxford Office.
      • Facilitating effective budget monitoring by checking monthly expense reports vs budget exercising budgetary controls and identifying areas for cost cutting and improvement
      • Preparing annual/ half yearly budgets, and reporting to the Operations Manager and OPM Oxford, when required.
      • Coordinating with internal and external Auditors for timely completion of the Audit.
      • Ensuring tax compliance in line with local legislation.
      • Overall management and guidance for Project Finance Administration, providing a high quality service to ensure efficient running of projects.
      • Managing any other finance or office management process or systems as reasonably requested by the Operations Manager.
    • Office and General Management
      • This part of the role will be less time consuming, thanks to the support of the Office Administrator but equally important. It will involve:
      • Line managing the Office Administrator.
      • Management of business services provision to the office.
      • Overall responsibility for office suppliers and contractors such as cleaners.
      • Overseeing the management of the company premises, including but not limited to leases, relationships with landlords.
      • Put in place and enforce office related procedures for Health and safety and human resources.
      • Overseeing and reviewing all insurances annually to ensure compliance
      • Responsible for ensuring successful delivery of IT performance within the office to agreed objectives and timetables, management of SLA with external IT support
      • Responsible for the implementation of all office and project security requirements
      • Implementing Risk Management procedures

    In order to be selected for this role, you will need tro demonstrate:

    • Education to degree level in Business Administration, Finance, Accounting or equivalent work experience
    • Significant and relevant experience in finance, accounting, budgeting, and cost control principles including Generally Accepted Accounting Principles.
    • Enthusiasm, drive, presence and self-motivation.
    • Excellent communication and presentational skills.
    • Ability to work co-operatively and confidently with colleagues and other stakeholders and personnel from any level.
    • Good organisational skills and the initiative to work with a minimum of supervision.
    • Flexibility to cope with several jobs simultaneously and to agreed deadlines.
    • Excellent analytical and problem-solving skills
    • Experience and ability in managing a team of people including the ability to motivate and encourage other people
    • Good computer skills, MS Office, and accounting software.

    This is a full-time position based in our office in Pretoria, South Africa.
