    Office Manager

    Job description

    Managing a small office! With Property Development penetrating the African continent, our private client is one of the leading small companies to join this high risk high reward market. Established only 6 a few years ago, they have already grown their Retail Portfolio to include close to 10 6 Retail Developments in Sub-Saharan Africa. Their close knit team manages all development functions needed to plan, design, lease and build shopping centres; and they are now looking for someone to take responsibility for the ongoing management of these assets. With their current 6 centres ranging between 2,000sm and 7,000sm, they need someone who will ensure that their (to date fairly loose) administration of leases and property management issues is set up and maintained. Their expansion plan and business model has them adding a variety of projects to their portfolio in the next few years, and therefore they require a highly organized person to join their Johannesburg Office. With successful centres in Zambia, Mozambique and Zimbabwe you will be required to assist the Management and Facilities Team with all administration and travel duties. Not limited to anything you will be managing the office ensuring management has the right documentation for their trip or meeting, as part of your role you will also be assisting the Tenants with all their requirements. There are limited systems currently in place, so you will almost have carte blanche to establish all development, lease and financial administration and ensure that there is a central-hub for all Portfolio information. Starting with leases, your organizational skills will have you assisting with the drafting of leases, dealing with renewals or adjustments and ensuring that all is loaded onto the system. Financially you will allocate payments, chase up on quotes, get invoices ready for payment and ensure that all final billings are correct. Looking after tenants spread across the portfolio means that you will resolve their queries, adjust/update their accounts and get involved in ensuring that they are satisfied and looking to extend their leases. Although you will be able to consult directly with the owners on management issues, you will essentially be running the asset administration by yourself. This means you will need a minimum of 3 years retail Property Administration or Office Management experience to add real value to this team.
