Our client, established in the early 70's offers a comprehensive range of property related services. With their proven track record in managing residential, commercial, retail and mixed used sectional titles, they have been growing their portfolio. They have recently launched their own Go-Green campaign making sure they manage all properties with a "green" attitude reducing operational costs. To join their well established team in Cape Town they are looking for a highly skilled Sectional Title Property Manager. You will look after 15 buildings, making sure they are performing and looked after keeping in mind the green building principals. Looking after the all financials including authorization of creditor invoices, releasing payment batches and last but not least managing the annual budget for your buildings. With the help of the Facilities Administrator you will have to ensure daily liaison with all owners, trustees, insurance companies and contractors. Resolving all disputes, queries and give guidance to owners, as part of your role you will also need to manage all negotiations with insurance companies and professionals on behalf of your clients. Keeping record of all meetings taking place with Trustees, giving feedback on how the portfolio is performing and conducting business on behalf of the Sectional Title Services. The ideal candidate for this role will have at least 5 years property management experience working on a Sectional Title portfolio combined with a tertiary qualification in Property. Travelling is not extensive but you will need to your own transport to attended meetings afterhours on behalf of the Trustees. The main purpose of your job will be to provide leadership, direction, management and guidance at a strategic level in all staff related initiatives. This means implementing and maintaining a smooth proactive processes through the organization, provide IR support and advice, developing and overseeing drafting of ISO compliant HR policies and procedures, as well as maintaining professional memberships and qualifications staying current and ahead of trend in the industry. With their portfolio spread across South Africa, they own predominantly retail centres with a handful of commercial-offering as well. Currently estimated above R2 Billion, their Asset Management team currently requires a Personal Assistant. Supporting the team your function will start from Diary and Task management, from co-ordinating diaries for meetings and events, scheduling meetings; organizing travel arrangements, and taking messages from missed calls. You will also be in charge of document control for Dropbox and MDA-systems. Working closely with the Asset Managers, you will also need to liaise with the various property managers. This will have you alerting them of upcoming vacancies, receipt and printing of documents for signatures, checking of calculations, completing all paperwork on MDA and obtaining inspection reports after tenant occupation. Industry events are essential, and you will therefore need to book functions, networking events and workshops, as well as ensuring that all professional memberships are managed and up to date. Managing a small office! With Property Development penetrating the African continent, our private client is one of the leading small companies to join this high risk high reward market. Established only 6 a few years ago, they have already grown their Retail Portfolio to include close to 10 6 Retail Developments in Sub-Saharan Africa. Their close knit team manages all development functions needed to plan, design, lease and build shopping centres; and they are now looking for someone to take responsibility for the ongoing management of these assets. With their current 6 centres ranging between 2,000sm and 7,000sm, they need someone who will ensure that their (to date fairly loose) administration of leases and property management issues is set up and maintained. Their expansion plan and business model has them adding a variety of projects to their portfolio in the next few years, and therefore they require a highly organized person to join their Johannesburg Office. With successful centres in Zambia, Mozambique and Zimbabwe you will be required to assist the Management and Facilities Team with all administration and travel duties. Not limited to anything you will be managing the office ensuring management has the right documentation for their trip or meeting, as part of your role you will also be assisting the Tenants with all their requirements. There are limited systems currently in place, so you will almost have carte blanche to establish all development, lease and financial administration and ensure that there is a central-hub for all Portfolio information. Starting with leases, your organizational skills will have you assisting with the drafting of leases, dealing with renewals or adjustments and ensuring that all is loaded onto the system. Financially you will allocate payments, chase up on quotes, get invoices ready for payment and ensure that all final billings are correct. Looking after tenants spread across the portfolio means that you will resolve their queries, adjust/update their accounts and get involved in ensuring that they are satisfied and looking to extend their leases. Although you will be able to consult directly with the owners on management issues, you will essentially be running the asset administration by yourself. This means you will need a minimum of 3 years retail Property Administration or Office Management experience to add real value to this team.
