    Financial Planning Practice Manager

    Job description

    Job Specification 

    Salary: Negotiable

    Role description:

    • To assist the financial advisor in performing his/her client advisory services
    • To manage the financial advisor’s diary
    • To assist the financial advisor in managing his/her client relationships
    • To support the financial advisor by managing the front office and back office administration duties
    • General office duties to ensure the smooth day to day running of the practice
    • Management of additional office and administration staff as the practice grows

    Description of duties:

    • Ensuring that the financial advisor is meeting his / her client SLA deliveries relating to annual reviews, reporting, query resolutions
    • To assist the financial advisor in closing new business by maintaining contact with prospects and scheduling the necessary initial and follow up meetings timeously
    • Daily diary management
    • Maintenance of the client information in the financial advisor’s CRM system
    • Client relationship management
    • Review preparation and management of review dates in the advisor’s CRM system to ensure that there is a record of reviews held and a record of upcoming reviews
    • Implementation of new business
    • Liaison with product providers for quotes, implementation of business, client queries
    • Updating of client portfolio schedules for reviews and ongoing reporting
    • Capturing of meeting notes into the advisor’s CRM system
    • Assisting with the preparation of Records of Advice and recommendation reports
    • Liaison with clients for outstanding documents, e.g. FICA, applications etc
    • Ensuring that all work in process is captured as tasks into the advisor’s CRM system for easy follow up and reporting
    • Setting up and following up on client medicals for risk cover
    • Capturing commission and fee details into CRM or commission system to ensure records and reporting are up to date
    • Management of client complaints and escalation to the financial advisor, if needed
    • Ensuring all client queries are captured as tasks into the financial advisor’s CRM system and followed through to resolution
    • Ensuring that the New Business and Policy Replacement registers are kept up to date
    • Manage the compliance process with the internal / external compliance officer
    • Ensure that all client SLAs in terms of review and reporting deadlines are met

    General Office Duties:

    • Ordering of office supplies online (stationery, kitchen, refreshments)
    • Fetch post in Rivonia Bi-Weekly
    • Occasionally assisting with tea /coffee / refreshments for clients or guests
    • Preparation of client gifts
    • Occasional trips to deliver or collect a document/gift (within reason)
    • Seeing to the office tasks mentioned above would take up between 5%-10% of the job function at a

    Qualifications & Experience:

    • Minimum 5 years’ experience in the financial planning industry
    • Matric
    • NQF 4 / 5 Certificates in financial planning an advantage
    • RE exams an advantage
    • Excellent spoken and written English
    • Experience in the use of a financial planning system is an advantage
    • Good word and excel skills
    • Good understanding of fees and commissions
    • Basic knowledge of long term insurance and investment products
