    Pitch Administrator

    Job description

    A vacancy has become available for a pro-active and self-motivated Pitch Administrator to join the Pitch Team at CDH.

    The ideal candidate will be a strong administrator with meticulous attention to detail and the ability to manage multiple deadlines in a highly pressurised environment

    Tasks and responsibilities

    Day to day duties and responsibilities include but are not limited to:

    • Proposal and Tender Support:
    • Provide administrative support in terms of tenders
    • Assist with queries from "internal" clients:
    • Requests for CVs
    • Requests for rates
    • Requests for company related information (TCC, BEE Certs etc.)
    • Requests for experience
    • Monitor and maintain central repositories (e.g. Profiles, Experience lists / qualification certificates/ reference letters/ company documents etc.)
    • Participate in pitch related projects, as and when required
    • Maintain the Experience Database used in brochures and pitch documents.
    • Prepare daily / monthly reports in line with agreed templates
    • Assist with supplier registration, tender collation and capability statements
    • Administrative Services
    • Assist with completing of tender and other related forms
    • Assist with the collation of annexures and required documents
    • Assist with making of relevant labels
    • Arrange for copies to be made by printing room
    • Assist with the collation of Practice Area information
    • Populate and update profiles in required format
    • Proofread and edit information submitted by others and ensure that all information loaded is accurate with respect to spelling, grammar, house style, content and relevance
    • Assist with presentations to clients: coordinate information required, capture and distribute all agendas and prepare packs in advance for meetings

    Education and experience

    • A legal or other relevant qualification would be advantageous
    • A minimum of 1 - 3 years’ experience working with tenders/pitches in an administrative capacity in a professional services environment is preferred alternatively;
    • A minimum of 3-5 years’ experience in marketing and/or business administration.
    • Excellent command of the English language, both written and verbal
    • High level of accuracy and consistency particularly under pressure
    • Excellent administration skills:
    • MS Office Package – Advanced
    • Organising and project management skills
    • Must be willing to work afterhours and over weekends, as and when required

    Knowledge, Skills and Competencies

    • Knowledge of the Legal industry in South Africa is desirable;
    • Knowledge of tender and business development processes will be advantageous;
    • Strong writing, editorial and proof-reading skills
    • Excellent people management skills – project team and stakeholders.
    • Confidence, persuasiveness and assertiveness;
    • Ability to build trust amongst the partnership;
    • Client relationship management skills - ability to make links and connections with the wider business, outside area of specialisation;
    • Change management;
    • Ability to be persuasive, subtle and/or discrete in making appropriate representations;
    • Ability to work independently and without supervision;
    • Ability to use creativity and innovation to find solutions and reach agreement where possible;
    • Project management of multiple projects;
    • Risk management;
    • Adaptability
