    Admin Clerk: Branch (Equipment)

    Duties and Responsibilities:

    Administration of Construction and Forestry Products:

    • Administer construction and forestry dealer-related products according to the John Deere agreement.
    • Maintain records, documentation, and files following company policies.
    • Create orders on the system and process the orders with relevant parties.
    • Receive parts and invoice sub-dealers per agreements.
    • Assist with regular stock takes and compile monthly reports.

    Sub-Dealer Administration:

    • Handle documentation for sub-dealers and maintain accurate records.
    • Process orders and invoices in accordance with agreements.
    • Assist with regular stock takes and report to management monthly.

    Admin Controller - New Part Number Requests:

    • Verify new part numbers and ensure they are not already in the database under a different franchise.
    • Create new part numbers as per specifications and communicate with branches.

    General Office Administration:

    • Direct office activities to ensure efficiency and policy compliance.
    • Assist senior management with agendas, travel arrangements, and calendar management.
    • Perform other related administrative duties, including preparing reports and overseeing office communications.

    Central Reporting and Audit Compliance:

    • Create reports for audits and report deviations to management.
    • Set up audits, collect feedback, and file relevant documentation.
    • Administer petty cash and inter-company orders, and manage payments.

    Gross Profit Percentage and Activity Codes:

    • Create deviation reports on gross profit percentage and analyze variances.
    • Recalculate and analyze activity codes weekly based on predetermined conditions.
    • Assist stock controllers with data discrepancies and rectify incorrect data on the system.

    Assist Creditors Department:

    • Assist the creditors department with branch-related queries.

    Fixed Asset Register Assistance:

    • Compile and maintain a fixed asset register.
    • Communicate updates to the relevant people and assist with asset confirmations.

    Internal Freight Coordinator:

    • Coordinate inter-branch stock movements.
    • Compile relevant data for reporting and analyze costs monthly.

    Requirements

    • Education: National Senior Certificate (Candidates with an Office Administration Diploma, Inventory Management Certificate, or Business Administration Certificate will receive preference).
    • Experience: At least 2 years of relevant administrative experience.
