    Administrative Assistant - Midrand

    PRIMARY RESPONSIBILITIES

    • Handle delegated routine correspondence for private and confidential matters
    • Organizing and maintaining diaries and making appointments for the Technical Director
    • Arranging both in-house and external events for MMD
    • Maintenance of the booking system for MMD Training and Teams center
    • Manage all travel arrangements for the Plant Manager, including but not limited to: Flights and accommodation, ground transportation, visa applications etc.
    • Management of local co-ordination for all MMD visitors
    • Re - route all urgent matters to the relevant person in the absence of Plant Manager
    • Ensure systems for site updates are current and valid
    • Ordering and maintaining stationery and equipment supplies
    • Management of Concur, SAP and Ariba
    • Arrange amenities as needed
    • Take part in any administrative meetings and assure secretarial follow-through.
    • Managing and reviewing filing and office system
    • Perform L&D Tasks linked to the admin role:
    • Assign/manage comet roles and run reports
    • Assign/manage trainings and run reports
    • Create exams and task checklist
    • Run MMD overdue/status trainings reports, present GMP training meeting with quality
    • Keep abreast of organizational issues and have a good understanding of the organizational aims and objectives
    • Assure discreet handling of all business
    • Performs admin duties associated with the L&D function
    • Responsible for reporting adverse experiences or events (AEs), adverse device events (ADEs), product quality complaints (PQCs) and other reportable information, customer feedback (CF), alleged counterfeiting, diversion and tampering (CDT) that they become aware of to the Designated Point of Contact (DPOC)

    QUALIFICATIONS AND EXPERIENCE

    • Matric
    • Business Management Diploma/Degree or equivalent
    • Good SAP knowledge
    • Excellent Power Point, Teams, MS Word, Excel and Visio
    • Good verbal and communication skills
    • Minimum of 3 years' experience providing end to end executive support to senior leaders and coordinating divisional projects.
    • Proven track record in organising local management and regional meetings
    • Familiarity with Pharmaceutical and production terms would be an added advantage

    • Communication skills and professionalism must be at a level to effectively interact with Company executives at all levels of the organization
