Assist the staff with the permit application process and facilitate the return of permit cards and supporting documentation to the ACSA Permit Office;
Maintain accurate and up-to-date records for all ACSA permits and staff parking allocations across airport teams;
Assist operational teams with permit-related queries and ensure compliance with permit procedures;
Source quotations and create purchase requisitions (PRs) on Sage for all office and operational supplies, including stationery (branded and standard), refreshments, cleaning products, and ice;
Receipt goods in Sage X3 upon delivery and orders;
Verify supplier invoices and forward them to the accounts department for processing;
Reconcile meal voucher invoices, ensure necessary approvals are obtained, and upload supporting documentation to the company drive;
Provide day-to-day administrative assistance to the Airport Manager and operational team;
Support the Operations team at Ticket Sales during peak periods or as required;
Compile and maintain staff rosters to ensure adequate operational coverage;
Upload staff schedules to the Kronos system;
Assist with station audit preparation and compliance documentation;
Coordinate the dispatch and co-mailing of packages to operational stations;
Assist with compiling KPI statistics and operational performance reports;
Provide first-line IT support to operational teams and escalate issues to the IT department when necessary;
Liaise with the ACSA Surveillance Department to retrieve and review incident or accident-related footage;
Engage with internal and external stakeholders to support effective communication and build strong, professional working relationships.
Requirements
Grade 12 or Equivalent (Essential);
Relevant Diploma/Degree (Advantageous);
Minimum of 1-3 years' experience in office administration (Essential);
Airline experience (Beneficial);
Airline system knowledge (Radixx Res, DCS, Kronos, Flowcentric, Sage (Beneficial);
Proficient use of the Microsoft Office suite;
Strong Administrative skills;
Time Management skills;
Excellent communication skills (verbal and written);
