    Flight Operation Administrator

    Description

    • Provide day-to-day office and administrative support to the Flight Operations team and Chief Pilot.
    • Manage incoming calls, emails, and correspondence, ensuring efficient communication flow.
    • Arrange and schedule meetings and appointments, including logistics and room bookings.
    • Prepare and circulate meeting agendas and in advance.
    • Take accurate and detailed meeting minutes, ensuring timely distribution and follow-up on action items.
    • Maintain filing systems and ensure documentation is organised and accessible for auditing and compliance purposes.
    • Act as point of contact for Flight Deck crew queries, escalating matters where required.
    • Liaise with the Rostering and Training Department regarding roster requirements and changes as required.
    • Coordinate with HR regarding reports and crew related matters, including onboarding of new Flight Deck crew.
    • Administer updates for new crew starts and maintain crew-related documentation.
    • Support crew with iPad-related matters, including troubleshooting, updates, and device distribution.
    • Assist in the preparation, compilation, and formatting of both regular and ad hoc reports which include Seniority listing, leave reporting etc.
    • Ensure Flight Operations documents are prepared, updated, and distributed to the relevant stakeholders.
    • Keep operational records, manuals, and reports updated in line with company and regulatory requirements.
    • Follow up on deadlines, ensuring system updates and reporting obligations are completed on time.
    • Liaise with the Chief Training Captain, Fleet Captain, EBT Manager, Cadet Manager, and Office Pilots to provide timely administrative and operational support.

    Requirements

    • Grade 12 or Equivalent (Essential);
    • Relevant tertiary qualification Advantageous);
    • 1-3 years' experience in office administration (Essential)
    • Administration experience (Essential);
    • Aviation/Operations experience (Advantageous);
    • Proficient in the use of Microsoft Office (Word, Excel, PowerPoint and Outlook);
    • Strong administrative skill;
    • Organised, systematic and excellent attention to detail;
    • Excellent interpersonal skills and confident to deal with internal and external customers;
    • Good communication skills;

    Customer Service Supervisor

    Description

    • Assist passengers with ticket sales, bookings and flight changes;
    • Handle issues such as delays, cancellations, and other operational challenges;
    • Explain processes to customers and provide assistance where necessary;
    • Supervise Ticket Sales staff;
    • Supervise ticket sales representatives, including their training, coaching, and performance evaluation;
    • Ensure that all ticket sales representatives adhere to FlySafair policies and procedures, including pricing, ticketing, and refund policies;
    • Resolve customer complaints and issues related to ticket sales;
    • Oversee the day-to-day operations of the ticket sales department, including managing staff, scheduling and shifts;
    • Ensure that all ticket sales are handled efficiently and accurately without any errors or discrepancies;
    • Liaise with customers and maintain a visible, accessible presence for both staff and passengers at all times.

    Requirements

    • Grade 12 or equivalent (Essential);
    • Travel Degree or Diploma (Advantageous);
    • Minimum of 2-4 years' experience in an Airline/Aviation environment (Passenger Services and/or Ramp Services and/or Baggage Handling);
    • No criminal or credit record;
    • Must be willing to work on weekends and public holidays;

    Airport Operations Administrator

    Description

    • Assist the staff with the permit application process and facilitate the return of permit cards and supporting documentation to the ACSA Permit Office;
    • Maintain accurate and up-to-date records for all ACSA permits and staff parking allocations across airport teams;
    • Assist operational teams with permit-related queries and ensure compliance with permit procedures;
    • Source quotations and create purchase requisitions (PRs) on Sage for all office and operational supplies, including stationery (branded and standard), refreshments, cleaning products, and ice;
    • Receipt goods in Sage X3 upon delivery and orders;
    • Verify supplier invoices and forward them to the accounts department for processing;
    • Reconcile meal voucher invoices, ensure necessary approvals are obtained, and upload supporting documentation to the company drive;
    • Provide day-to-day administrative assistance to the Airport Manager and operational team;
    • Support the Operations team at Ticket Sales during peak periods or as required;
    • Compile and maintain staff rosters to ensure adequate operational coverage;
    • Upload staff schedules to the Kronos system;
    • Assist with station audit preparation and compliance documentation;
    • Coordinate the dispatch and co-mailing of packages to operational stations;
    • Assist with compiling KPI statistics and operational performance reports;
    • Provide first-line IT support to operational teams and escalate issues to the IT department when necessary;
    • Liaise with the ACSA Surveillance Department to retrieve and review incident or accident-related footage;
    • Engage with internal and external stakeholders to support effective communication and build strong, professional working relationships.

    Requirements

    • Grade 12 or Equivalent (Essential);
    • Relevant Diploma/Degree (Advantageous);
    • Minimum of 1-3 years' experience in office administration (Essential);
    • Airline experience (Beneficial);
    • Airline system knowledge (Radixx Res, DCS, Kronos, Flowcentric, Sage (Beneficial);
    • Proficient use of the Microsoft Office suite;
    • Strong Administrative skills;

    Flight Follower

    Description

    • Responsible for flight tracking and monitoring;
    • Monitor weather conditions along flight routes and at destination airports;
    • Provide pilots with updates and advise on any potential weather-related hazards;
    • Notify the relevant stakeholders of any diversion or irregular routing;
    • Maintain communication with Flight deck crew inflight as and when required;
    • Responsible for the driver schedule management;
    • Assist the Flight Operations office when required;
    • Communicate estimated time of arrival (ETA) to the relevant parties;
    • Capture of flight movements on operational software;

    Cabin Crew Instructor

    Description

    • Training Delivery;
    • Assist in identifying and addressing learning challenges, instructional issues, and new training needs;
    • Identify opportunities for improvement to training delivery and trainee experience;
    • Identify training needs in line with organisational requirements;
    • Facilitate training sessions in classroom and virtual formats in line with the training manual and updated training material;
