    Bosch Projects – Secretary/Administrator

    KEY  RESPONSIBILITIES: 

    1. Project file / document management:

    • Compilation and maintenance of project data sheets, typing, proof reading, document control / quality compliance, information system capturing, indexing, organising, filing and storage of project documents.

    1. Project finance coordination:

    • Timesheet control, project costing / forecasting, invoicing, statements / cover letters,

    1. Contractors:

    • Storage of original signed Contract documents, contractor performance guarantees and/or retention guarantees, retained on behalf of the Client, in secure filing as directed by the Project Manager.

    • Assistance with production of tender and contract documents on behalf of Bosch Projects’ clients

    • Development and maintenance of schedules and registers relating to the above contracts

    • Assistance with correspondence with these contractors and following up on reporting requirements

    1. Office and quality management:

    • General office administration duties including preparation of paperwork, presentations, data capturing and data verification, telephone messages, coordination of training, occupational health & safety and divisional quality audits

    KEY REQUIREMENTS:  

      • A Matric certificate with maths as an advantage.

      • A minimum of five years relevant work experience with engineering industry exposure as an advantage.

      • Good Enterprise Resource Planning (ERP) system skills. Working knowledge of Unit4 business world (UBW) is advantageous.

      • Good data capturing skills.

      • Proficiency in the use of Microsoft office programs (Excel, Word and PowerPoint) -Intermediate Excel skills will be advantageous.

      • Experience in the administration of contract documents.

      • Excellent interpersonal skills.

      • Good report writing skills.
