    Compliance and Administrative Assistant

    Job Description

    • A boutique asset management business based in Sandton is seeking a Compliance and Administrative Assistant to provide compliance and administrative support across the business.
    • The successful candidate will have experience within a financial advisory or asset management environment, with strong working knowledge of FAIS and FICA and an interest in compliance, administration and financial services.

    Minimum Requirements

    • BCom in Financial Planning, Law, Risk Management or a related field, or an equivalent qualification such as an Advanced Certificate in Wealth Planning or Postgraduate Diploma in Financial Planning.
    • Alternatively, demonstrated advanced knowledge of the financial planning environment, including investments, shares, endowments, risk cover, tax and estate duty.
    • 2+ years' experience in a Compliance Department or compliance function within the financial advisory or asset management sector.
    • FAIS and FICA experience is essential.
    • Knowledge of other relevant regulations, including JSE Equities Rules, will be advantageous.
    • A Compliance and Risk Certificate or similar qualification will be advantageous.
    • Knowledge of company secretarial responsibilities and/or the Companies Act will be advantageous.
    • Strong integrity, honesty and work ethic.
    • High level of initiative with the ability to work independently and make sound decisions.
    • Strong communication, administration, reporting, problem-solving and time-management skills.
    • Ability to build effective working relationships with employees, management, regulators and external service providers.

    Key Responsibilities

    Compliance

    • Maintain and support the business's FAIS Compliance Risk Management Plan.
    • Ensure FAIS policies, procedures and processes remain aligned with legislative and regulatory requirements.
    • Prepare and submit required regulatory reports accurately and timeously.
    • Monitor compliance with FAIS requirements and identify potential breaches or areas of non-compliance.
    • Investigate compliance issues and ensure appropriate reporting and follow-up.
    • Maintain relevant FSCA and regulatory registers and ensure required profile changes are completed.
    • Ensure representatives and Key Individuals remain appropriately authorised and fit and proper.
    • Review agreements and documentation for compliance with FAIS requirements.
    • Support compliance reporting and follow up on outstanding actions.
    • Provide guidance to employees on compliance requirements and assist with implementing appropriate controls.
    • Assist with staff training on FAIS and compliance matters.
    • Liaise with regulators, external compliance officers and relevant service providers.

    FICA & AML

    • Support compliance with FICA and Anti-Money Laundering requirements.
    • Implement and maintain the approved FICA Risk Management and Compliance Programme (RMCP).
    • Monitor client verification and screening during onboarding.
    • Ensure ongoing client re-verification and screening in line with the RMCP.
    • Identify and report potential compliance breaches, suspicious transactions and other reportable matters.
    • Assist with staff training on FICA and AML requirements.
    • Maintain effective relationships with regulators, external compliance officers and service providers.

    Administration

    • Coordinate appointments and meetings, including Board, Investment Committee and Product Committee meetings.
    • Arrange business travel, including flights, accommodation, transfers and relevant documentation.
    • Maintain employee absence schedules, including business travel, leave, public holidays and office closures.
    • Attend meetings and prepare meeting notes.
    • Assist with preparing board resolutions and coordinating electronic signatures.
    • Assist with reviewing contracts and agreements when required.
    • Provide general administrative support across the business.
    • Assist with creating and maintaining a positive working environment.
