    Construction Administrator

    Job Description

    • Faircape Group owns and manages six luxury retirement and lifestyle villages across the Western Cape. Our in-house Construction division is responsible for supporting the continued growth and improvement of these properties through new developments, building projects, renovations, refurbishments and facility upgrades
    • We are looking for an organised and commercially minded Temporary Construction Administrator to join our Construction team on a four-month fixed-term contract, based at our Claremont office in the Western Cape. 
    • This role is suited to someone with strong administrative and follow-up skills, a basic understanding of construction terminology and the confidence to communicate professionally with suppliers. Working alongside the Quantity Surveyor, the successful candidate will be responsible for requesting and following up on quotations, tracking responses and maintaining accurate quotation records.

    Duties will include, but are not limited to:

    • Work closely with the Quantity Surveyor to support quotation and procurement administration.
    • Follow up consistently on outstanding quotations, pricing and supporting documentation that was provided by the Quantity Surveyor.
    • Maintain an accurate quotation tracking schedule and update the status of each request.
    • Record supplier responses, submission dates, lead times and outstanding information.
    • Ensure quotations received correspond with the requested materials, quantities and specifications.
    • Identify missing or unclear information and refer queries to the Quantity Surveyor.
    • Communicate professionally with suppliers and subcontractors regarding outstanding quotation requests.
    • Organise and file quotations, supplier correspondence and related project documentation.
    • Provide regular updates to the Quantity Surveyor on outstanding, received and overdue quotations.
    • Assist with obtaining information on product availability and estimated delivery lead times.
    • Capture and maintain accurate supplier and project-related information.
    • Liaise with the Construction, Procurement and Finance teams when required.
    • Assist with quotation comparisons and pricing reviews when requested by the Quantity Surveyor.
    • Provide general administrative support to the Quantity Surveyor and Construction team.

    Qualifications:

    • Grade 12.
    • A relevant qualification in Administration, Procurement, Finance, Quantity Surveying or Construction would be advantageous.

    Experience and knowledge:

    • Previous administrative experience within a construction, building, procurement or cost-related environment.
    • Familiarity with construction materials and terminology.
    • Experience communicating and negotiating with suppliers.
    • Strong computer literacy, particularly in Google Workspace advantageous.
    • Experience working with purchase orders, invoices or cost schedules would be advantageous.

    Skills and attributes:

    • Strong numerical and administrative ability.
    • Excellent attention to detail and accuracy.
    • Good verbal and written communication skills.
    • Confident and professional when dealing with suppliers.
    • Ability to understand construction-related requirements and terminology.
    • Good organisational and time-management skills.
    • Ability to manage multiple quotation requests and meet deadlines.
    • Commercial awareness and a cost-conscious approach.
    • Able to work independently and as part of a team.
    • Proactive, reliable and willing to follow up consistently.
