    Credit Control and Billing Manager - SPARK Schools Support - Rosebank

    Purpose of Role:

    The Credit Control and Billing Manager deals with managing the debtors/accounts receivable side of the organisation. The value of the role lies in adding improvements to cash flow by collecting on time. The Credit Control and Billing Manager is directly responsible for the receipt of payments, account allocations, customer invoicing and collections. Establishing and maintaining customer service standards by ensuring accuracy and timeous invoicing.

    Reports to: Chief Financial Officer (CFO)
    Responsibilities:

    • Managing and collecting debts from customers.
    • Setting up the terms of credit for new customers.
    • Negotiating payment plans for overdue customers.
    • Managing the collection of all payments and debts.
    • Responding to client inquiries around invoices, statements and pricing.
    • Processing invoices.
    • Preparing statements and reports for the company accountant.
    • Managing the debtors subledger.
    • Liaising with customers and the sales team.
    • Ensure that effective systems of controls are documented, implemented and operate effectively to detect and prevent fraud or error.
    • Develop and train staff and review their performance maintaining the discipline within the accounts department.
    • Billing
    1. Reconcile bank transactions (daily).
    2. Balance all bank accounts (daily).
    3. Ensure that unallocated receipts are kept at a minimal (daily maintenance).
    4. Processing debit order batches
    5. Allocating debit order payments
    6. Reconciling debit order account after debit order run.
    7. Send unallocated customer account to the bank for customer references
    8. Receive unallocated customer references from the bank, locate the customer reference and post to customer account
    9. Communicate with customers regarding the correct customer references
    10. Manage customer accounts for purposes of reporting, rectification, and similar actions which may be necessary from time to time.
    11. Responsible for the full invoicing function weekly (late pick up) and monthly (school fees, aftercare).
    12. Ensuring late payment interest reflects on customer accounts.
    • Prepare debtors reconciliations
    • Assisting with customer queries related to invoicing and credit notes
    • Maintenance of debtor’s database (ensuring every account has an email, contact number and all information correct).
    • Assisting with customer refunds.
    • Ensuring customer statements are emailed monthly.

    Qualifications and criteria:

    The ideal candidate will possess the following qualifications and criteria:

    • Degree in finance, accounting or law.
    • Previous work experience as a credit controller.
    • Good understanding of the legal complexities of loans, payment plans, and interest rates.
    • Proficient in Accounting and Office software.
    • Ability to reconcile complex debtors' accounts.
    • Strong communication skills.
    • Ability to deal with problematic clients.
