Job Advert Summary    

• To coordinate and dispatch delivery vehicles and related resources efficiently to ensure the safe, timely, and cost-effective distribution of products to customers.
• The role is responsible for route planning, vehicle utilisation, delivery scheduling, load optimisation, customer service support, and the accurate reporting of operational and financial information to support contract performance.

Minimum Requirements    

Qualifications, Skills & Experience

• Grade 12 / National Senior Certificate.
• Logistics Management, Transportation Management ,Supply Chain Management qualifications is advantagous.
• 2-3 years' experience in a dispatch, logistics, transport, or fleet coordination environment.
• Experience in route planning and vehicle scheduling.
• Exposure to customer service and operational reporting processes.

Duties & Responsibilities    

Key Responsibilities

Despatch Planning and Vehicle Scheduling

• Schedule and dispatch vehicles in accordance with customer requirements and operational priorities.
• Plan and allocate loads to maximise vehicle utilisation and operational efficiency.
• Coordinate daily delivery schedules to ensure timely product distribution.
• Monitor route progress and address operational disruptions where necessary.
• Adjust dispatch plans in response to changing customer and business requirements.

Fleet Utilisation and Operational Efficiency

• Ensure optimal utilisation of vehicles and available resources.
• Monitor delivery schedules, vehicle movements, and turnaround times.
• Identify opportunities to improve routing efficiency and reduce operational costs.
• Assist in managing vehicle availability and operational readiness.
• Escalate operational issues that may impact service delivery.

Customer Service and Stakeholder Coordination

• Maintain effective communication with customers regarding deliveries and service requirements.
• Liaise with warehouse personnel to ensure load readiness and dispatch accuracy.
• Resolve delivery-related queries and coordinate corrective actions where required.
• Support customer satisfaction through proactive communication and service excellence.

Reporting and Administration

• Compile and submit daily operational KPI reports to the Contract Supervisor.
• Prepare monthly KPI reports for customers and management.
• Conduct daily trip analyses, including planned versus delivered loads.
• Maintain accurate dispatch documentation and operational records.
• Ensure the accuracy of operational and financial information submitted to management.

Compliance, Safety and Quality

• Adhere to company policies, procedures, and operational standards.
• Ensure dispatch activities comply with safety and quality requirements.
• Report incidents, non-conformances, and operational risks promptly.
• Support continuous improvement initiatives within the operation.
