    Dispatch Controller

    Introduction

    • To manage the drivers and to manage the fleet management system according to allocated areas.

    Job description

    KEY PERFORMANCE AREAS (KPAS)
    KPA 1: Ensures the effective Supervision of the day to day operations of the Transport Department
    KPI

    • Interpret the demands on the transport department of all scheduled standard routine trips, as well as additional ad hoc trips.
    • Allocate and schedule all trips on a daily basis according to Transport Roster for routine deliveries, and add additional collections and deliveries onto trip sheets.
    • Hand over trip sheets, Delivery Sheets and Vehicle Inspection Forms to the individual drivers.
    • Inspect vehicle with driver using the Vehicle Inspection Checklist.
    • Retain Vehicle Inspection Checklist and record and report damages to vehicle on the Fleet Management System.
    • Undertake enquiry of unreported damages and missing accessories.
    • Manage deviations from trips as reported by drivers.
    • Monitor route progress according to fleet management system.
    • Debrief once drivers have returned.
    • Undertake vehicle inspection according to Vehicle Inspection Checklist.
    • Hand over outstanding uncompleted Trips to the New Shift Dispatch Controller.

    KPA 2: Manages and Controls the SANBS Vehicle Fleet
    KPI

    • Allocate available vehicles with discretion according to daily departmental needs.
    • Ensure that all vehicles are inspected by Dispatch Controller utilising the Vehicle Checklist ensuring that both parties sign off the Checklist before the Driver departs for allocated route.
    • Ensure that a Logbook must be utilised when a pool vehicle is allocated and inspected.
    • Report Accident and complete Accident Claim Form to Transport Admin within 24 hours.
    • Ensure that action is taken if a company vehicle has been abused and takes Disciplinary Action when necessary.

    KPA 3: Ensure the continuous updating of the Fleet Management System

    KPI

    • Check that driver hands all completed Delivery Sheets, Collection Sheets, Vehicle Checklists, Garage cards, Petrol Slips, Customer Services Assessment Forms, Keys, Discrepancy Reports and Deviation Reports.
    • All collections and deliveries will be captured on Fleet Management System.
    • Schedule routing and planning of routes – must be done on the Fleet Management System.
    • Debriefing process of collections and deliveries must be completed at the end of each shift on the Fleet Management System.
    • Complete cost allocations to different cost centres.
    • Run a Proof of Delivery Report for stores. (add to driver success measure)
    • Complete Insurance claim forms and hand to Administrative Controller.
    • Ensure that all Collections and Deliveries have been executed and run Hamper Management Reports.
    • Manage the stores and mail items by a waybill tracking system linked to the Fleet Management System.
    • Run the report for the Vehicle License Discs and Vehicle Servicing.

    KPA 4: Undertakes general administrative duties effectively and efficiently
    KPI

    • Draw up monthly schedules for the interior and exterior cleaning of vehicles.
    • Perform all other duties as and when required within the SHEQ standards.
    • Ensure the parking of all vehicles in allocated parking according to parking placards.
    • Ensure that all duties are undertaken according to the SHEQ Standards.
    • Ensures that all vehicles and drivers legally comply with the Road Traffic Act.
    • Ensure the adherence to all SOP’s for drivers.

    Minimum requirements

    Education

    • Grade 12.
    • Computer Literacy.
    • Code C1 driver’s license with PDP.

    Experience and knowledge requirements

    • 1 Year experience working in a Logistics/Transport environment as a supervisor of people.
    • Experience of Supervising a Fleet of 100 Vehicles

    Other (knowledge and skills).

    • Understanding of a fleet management system
    • experience with vehicle tracking.
    • Read and understand all relevant SANBS policies and procedures.
