    Executive Management Assistant - Executive

    RESPONSIBILITIES:

    The incumbent will be required to provide administrative and secretarial support to the Vice-Principal in order to ensure that operations run smoothly and deadlines are met. This includes, but is not limited to:

    • All aspects of diary management;
    • Liaison and correspondence with internal and external role players;
    • Travel arrangements;
    • Managing projects such as high-level international visits and meetings;
    • Document management and record-keeping;
    • Procurement processes; and
    • Managing the physical office space.
    • The Executive Management Assistant also supports the Executive Operations Manager based in the office of the Vice-Principal.

    MINIMUM REQUIREMENTS:

    • A relevant degree or diploma in either secretarial, management, marketing, science or finance;
    • A minimum of five years’ experience in secretarial and office administration on an executive/senior management level;
    • A minimum of five years’ experience in report-writing and the compilation of presentations in English;
    • A valid driver’s licence.

    REQUIRED COMPETENCIES (SKILLS, KNOWLEDGE AND BEHAVIOURAL ATTRIBUTES):

    • Knowledge of and insight into the operations of tertiary education institutions;
    • Knowledge of project and financial administration;
    • Excellent language and communication skills;
    • Very good data capturing, diary management and filing skills;
    • Time management skills and the ability to function independently;
    • Good interpersonal skills and the ability to maintain confidentiality;
    • Problem solving skills and the ability to work under pressure;
    • Experience in working with international organizations and dignitaries;
    • Attention to detail and accuracy.
    • Excellent planning and organisational skills
    • Ability to use available technology
    • Good financial administration skills
    • Excellent MS Office suite (Word, Excel and PowerPoint) skills
    • Excellent business writing skills

    ADDED ADVANTAGES AND PREFERENCES:

    • Relevant postgraduate degree in Marketing, Communication or International Relations;
    • Advanced certificates in the MS Office Suite;
    • Three (3) years’ experience at a tertiary institution in a senior management or executive office;
    • A qualification and experience in project management and/or events management.
