    Executive Secretary/Executive Assistant - Senior Para-Professional (S3)

    A Snapshot of Your Day

    • Reporting to the Managing Director you will provide EA support, coordination and administration duties for the Director and the management team of Siemens Energy Angola. This role will require working as part of the wider team in SE Angola (Sales, HR etc.) and working in virtual teams within the Southern and Eastern Africa region.
    • In this role you will be required to provide administrative support to teams and functions within the business to aid with the delivery of successful tenders and adhoc projects. This will entail working across multiple functions. The role requires high levels of organizational skills, excellent planning and self-discipline, a positive and pro-active approach, excellent attention to detail and the ability to be agile and flexible towards competing demands and requirements. Working mostly from our Angola office and with a degree of flexibility some travel may be required for team meetings etc.

    How You’ll Make an Impact

    • EA to the Managing Director– diary management, anticipate the Director needs and proactively addresses any issues. Email/inbox management.
    • Business administration / support for management and sales team.
    • Coordinating for management, customer and governmental institutions meetings - meeting preparation through preparing slides, editing, and revising presentation materials, booking rooms, refreshments, equipment. Timely follow-up of action items.
    • Lead any “TEAMS” pages (collaborative working portal) for a function or project including associated SharePoint site. Document/file management on MS Teams and SharePoint.
    • Handle communications on Viva Engagement, prepare communication contents in alignment with the Communications Team.
    • Assistance with presentation material using mainly PowerPoint, coordinating and preparing routine reports
    • Balancing expenses - ensuring they align with financial policies and procedures.
    • Make travel arrangements as required (flights, trains, car hire, hotels, etc.)
    • Communicating with clients and internal collaborators.
    • Arrange/support team events including offsite workshops, team building events and supporting some HR and commercial activities.

    What You Bring

    • Bachelor’s degree in business administration, communications, or equivalent experience.
    • Strong administrative experience within a professional environment
    • Excellent communication, organizational and prioritization skills.
    • Proficient in digital skills including MS Office, etc.
    • Experience in management / project environment preferable
    • An outstanding phenomenal teammate. Able to partner with our EA / business admin network.
    • Ability to handle confidential information with discretion.
    • English is a requirement.
