    General Reception Duties 

    • Receiving visitors at the front desk by greeting, welcoming, directing and announcing them appropriately 
    • Answering screening and forwarding incoming phone calls 
    • Receiving and sorting daily mail
    • Greet and welcome guests as soon as they arrive at the office
    • Direct visitors to the appropriate person and office
    • Ensure reception area is tidy and presentable, with all necessary stationery and material (e.g. pens,forms and brochures)
    • Provide basic and accurate information in-person and via phone/email
    • Receive, sort and distribute daily mail/deliveries
    • Making sure there are no boxes / deliveries in the reception area
    • Regular bathroom checks
    • Signing Packages – ensuring that all staff are aware of their packages at reception and if not collected within a day or two, to send a reminder.
    • Booking boardrooms for staff when needed and moving boardrooms for important client meetings when necessary
    • Seeing to clients and visitors at reception and ensuring they are here to meet within our agency and making sure staff is aware of their visitors on time.
    • Update calendars and schedule meetings
    • Perform other clerical receptionist duties such as filing, photocopying, transcribing and faxing


    • 2 to 3 Years Office Assistant or similar role
    • Familiarity with operating a switchboard
    • Familiar with Microsoft Office tools
    • Good Excel skills
    • Good Communication skills
    • Good understanding of office management
    • Organizational skills
