    Head of Conference Production

    INTRODUCTION:

    The Head of Conference Production is responsible to lead the conference production team to ensure that in depth market research has been conducted in order to produce high quality programmes that will help reach the commercial goals of the event. The Head of Conference Production takes ultimate responsibility to deliver the programme and the correct messaging thereof to market it which will lead to the success of the event.

    JOB OUTLINE

    (but not limited too, as you may be required to perform tasks outside of this scope depending on the needs of the event)

    PROGRAMME DEVELOPMENT

    • Market research and event validation through the use of the business plan tools 
    • Research, develop and write the content of the conference programmes
    • Select, invite & secure high level speakers to cover all the key topics (remotely and face to face)
    • Speaker management
    • Speaker budget management and coordination
    • Dissemination of market news to the team
    • Generate new topic ideas for the events programmes
    • Meet all programme milestones

    SALES

    • Brief the sales team with market information, programme details and speakers
    • Check programme knowledge with sales team through regular meetings and cheat sheets
    • Support sales team to identify and secure financial sponsorship from commercial organisations.
    • Maintain telephone contact with key sponsorship contacts to establish their promotional strategies.

    MARKETING

    • Work closely with the Marketing department to ensure effective marketing of the conference
    • Monitor the marketing milestones and contribute to all aspects of marketing the events
    • From market research, provide content and copy for all promotional literature including the conference programme, website homepage and all  
    • Draft copy for electronic promotional campaigns.

    AT EVENTS

    • Speaker management and face-to-face networking
    • Manage the rooms to ensure the smooth running of the entire event
    • Coordinate external suppliers on site to ensure the smooth delivery of the conference
    • Collect relevant market research and notes in order to conference producers report

    TEAM MANAGEMENT

    • Manage the team to ensure that the conference producers are meeting all of the requirements of their role as well as the project KPIs
    • Ensure that they are developing team members and identifying any training gaps
    • Shapes and implements the conference overall strategy
    • Run all production meetings and motivate team members
    • Set timelines and ensure resourcing is adequate as well as meeting all deadlines
    • Ensure team members are working smartly and productively together: pre-event, at the event and post event
    • Update and run the programme milestone document in order to keep the event on the correct timelines
    • Ensure the direction of the conference programmes correct within the industry through research and stakeholder relationships
    • Recruitment- Oversee interview process of new conference production staff joining the team
