About the job
To provide effective administrative support to the Human Resources Office, serve as a resource to SAPRO employees and all stakeholders and manage the overall employment experience and the administration of the overall human resources value chain. To direct and plan the day-to-day operations of group benefits programs.
Mandatory Qualifications:
National Diploma or equivalent qualification in Human Resources Management or related field
Desired Qualifications:
Bachelor's degree or equivalent qualification in Human Resources Management or related field
Minimum Experience:
2 years human resources administration experience across the HR value chain
Key Performance Areas:
Strategic Administrative Support
Support the Human Resources Team with the administration task related to effective delivery of all strategic HR projects
Human Resources Operational Effectiveness
Contracts Management & Onboarding
Assist the HR, Talent, Resources and Nurture teams with activities, such as onboarding of new recruits
Manage the administration of contracts, benefits and other staffing issues for permanent, fixed term and contractors
Action the new hire onboarding process, ensuring that key stakeholders are informed
Prepare various HR documents, including new hire documents, employment contracts, compensation lists, and more
Monitor and ensure new hire documentation is accurate and that new hires are hires to the correct organisational structures and cost centres
Benefits Administration
Assist the team in managing the employee benefits vendors
Serve as primary contact for benefits vendors and third-party administrators
Coordinate daily benefits processing
Handle new applications, terminations, changes, beneficiaries, disability, accident and death claims etc
Collaborate with payroll and ensure that employer contributions and payroll deductions are processed accurately and in a timely manner
Oversee maintenance of employee benefits files, maintain group benefits database and update employee payroll records
Resolve benefit-related issues and respond to queries and requests in a timely manner
Evaluate the efficiency and value of current benefit programs and make recommendations for improvement
Reconcile benefits sheets between SAPRO and vendors to ensure accuracy
Performance, Talent & Compensation Management
Provide administrative support to the Assistant HRBP and the Success Management team with end to end on performance management processes
Support the Assistant HRBP with drafting of Job Descriptions and KPIs
Support with the administration of performance management reviews
Assist with the administration of compensation reviews such as increases and bonuses letters and schedules
Schedule career conversations and administer the top talent programme
Employee Relations & Support
Assist and support the Assistant HRBP with administrative processes related to IR issues such as disciplinary, grievance, restructuring, incapacity, conciliation, mediation, arbitration and compilation of evidence required for all these process
Payroll Administration
Collect data related to payroll and accurately capture on the system
Accurate capturing and processing of employee information (Activations)
Complete, verify and process benefits forms and documentation (provident fund, leave, medical aid etc. for payroll purposes
Check payroll to ensure that employees are paid accurately
Implement and manage month end to end payroll process
Calculation and payment of termination payments
Assist with internal audit processes for payroll
Project Administration
Support the Human Resources Team in proactively administering projects
Support in the administration of employees’ programs and support success managers with administrative tasks to drive improvements in employees’ engagement
Responsible for all HR related function administration like sending flowers, arranging vouchers etc to enhance employee experience
Data Management & Reporting
Accurately capture and maintain data on the HR System
Prepare, review, and update data, information and business reports, relating to new hires, terminations, demographics and headcounts report etc for data analysis required
Update internal HR databases
Respond to queries related to changes in the employees records
Ensure data integrity
Human Resources Query Management
Respond to any employee queries about people or HR-related issues, and help resolve them internally, if possible
Correctly responding to questions about HR policy and procedures
Respond to payroll related queries and resolve in a timely manner
Interpret, assist and advise employees regarding application of leave policy, benefit administration and HR procedures and policies within the specified guidelines
Budget/Financial Administration
Support the HR Team in ensuring that time and resources are effectively used
Assist the HR Team in administering the HR budget
Team effectiveness
Collaborate with the team for better results
Make positive contribution to the HR team performance and ensure that Service Line Agreements are achieved
Technical Skills
Proficient in Microsoft Office
Proven experience with HR software/s
Knowledge, understanding and application of labour legislation
Sound knowledge and understanding of HR policies and procedures
Complete knowledge of HR processes and record keeping
Behavioural/Non-Technical Skills
Strong organizational and administrative skills, with the ability to prioritize certain tasks and projects appropriately
Ability to work as a team member, assisting other HR team members with their tasks
