Provide day-to-day task & coordination support to marketing team leads
Prepare agendas, schedule meetings, take notes and send follow-up actions on behalf of the department
Assist with project management and campaign logistics, including: Coordinating campaign deliverables
Maintain operational systems, trackers and processes
Track requests and ensure information is organized and accessible.
Ensure assets are delivered on time and correctly.
Liaising with vendors and partners (agencies, gallery partners, external suppliers, etc).
Attending hotel Morning Meetings once a week to share marketing department updates (ie. film/photography shoots of the week, incoming VIPs & events, priorities for the month, etc.) representing the Brand & Marketing department
Protect team’s deep-work time
Support day-to-day communication with PR and event agencies
Attend agency meetings and share updates internally with team leads
Reviewing press release drafts, assisting with copywriting and making recommendations
Assist with compiling campaign reports for PR, marketing & social
Draft and develop itineraries for visiting VIP’s and Belmond Global employees - reviewed by team leads
Preparing docs with information on incoming VIPs to keep hotel staff in the know
Supporting room booking logistics for celebrities, KOLs and VVIPs
Support in coordination of flights and booking logistics for creatives and KOLs
Manage and attend on-site visits with external suppliers and partners
Influencer creative strategy support
Assist with guest list management and co-curation with Brand Director
Support on-site coordination for launches and brand experiences
Help manage supplier communications and event logistics
Assist with online presence management, including:
Web audits and content updates
Maintaining consortia listings and online brand information
Ensure accuracy and consistency across all digital platforms
Maintain organized digital asset libraries
Upload and organize new documents, fact sheets, and supporting materials to the Belmond internal hub
Ensure internal teams have access to up-to-date and accurate information
Provide ad hoc administrative and coordination support to the Sales team as required
Assist with document preparation, updates, and internal coordination
Assist other departments with marketing-related coordination as needed
Requirements
What You Bring:
Minimum of 2–4 years’ experience in an administrative, marketing, PR, communications, or coordinator role, preferably within a creative agency, lifestyle, fashion, travel, or premium brand.
Proven experience providing strong administrative support, including scheduling, coordination, record-keeping, and stakeholder communication
Familiarity with PR, influencer marketing, or campaign coordination, including handling bookings, vouchers, and partner requests.
Experience managing or updating digital platforms, websites, or internal document hubs (experience with internal CMS or brand hubs is advantageous).
Proficiency in Microsoft Office + Google Workspace; experience with internal systems, CRM tools, or hospitality platforms is a plus
