    National Kitroom Manager

    Mission

    Develop, implement, manage and continuously improve strategy for the entire National kitroom operation. Direct the kitroom operation, which encompasses all aspects of long-term and short-term consignment in relation to; inbound and outbound logistics flows, kit inventory management, kit creation, kit build, kit maintenance, kit lifecycle management and their related processes. Steer the kitroom operation towards improved operational service commitments, as well as the organizations objectives, mission and values. Deliver exceptional customer experience to both internal and external customers and stakeholders. Drive continuous improvement, optimization, simplification, efficiency, productivity and cost effectiveness.

    Essential Activities And Responsibilities

    • Maintain a motivated, highly skilled and competent kitroom team.
    • Continuously upskill and train the kitroom team on improved service commitments, kitroom strategies, standard operation procedures, products, and kits.
    • Ensure all team members are equipped and capable to undertake required tasks.
    • Conduct competency assessments and formulate development plans.
    • Identify talent and cultivate a culture of talent development and succession planning.
    • Set performance targets and objectives for the team and individual contributors with applicable progress tracking.
    • Lead by taking responsibility for both your own engagement and assist in driving engagement in the department.
    • Hold team members accountable for responsibilities and actions.
    • Ensure your team has the correct training, functioning, supplies, tools and equipment to perform tasks and achieve set objectives.
    • Maintain and timeously record all team management tasks in all HR tools and systems.
    • Support, advise and guide the team as the need arises.
    • Ensure safety of the team by creating a safe working environment by complying to regulations, PPE requirements and collaborating with the RAQA and health, safety and facilities departments.
    • Implement, Coordinate and manage team rosters for emergency cases and call outs.
    • Manage the all operational flows of the kitroom and lifecycle of kits or kit placements for long term and short-term consignment.
    • Ensure the outbound and inbound logistics of kits are always managed in accordance to applicable laws, regulations and quality standards.
    • Plan and arrange cost effective and time beneficial distribution of kits
    • Assess shipment mode of kits, priority, consolidation options, routing and shipment means to ensure customer and stakeholder satisfaction while optimizing costs and turn efficiency.
    • Manage distribution, courier, equipment and consumable costs including the approval of invoices while ensuring billing accuracy.
    • Continuously assess and validate cost vs. services offerings of service providers that support the kitroom operation
    • Cross collaborate with other operational departments and find synergies for improvements in supply and operational activities.
    • Set, implement and monitor service level agreements for internal and external customers and suppliers.
    • Manage and build relationship with service providers, internal and external customers.
    • Monitor service provider and kit room performance presenting results through Key Performance Indicators.
    • Provide updates and reports on shipment and kit status Develop methods to assess kit turns and utilization. Provide and assess kit inventory status reports with regards to under or over utilization with possible solutions.
    • Ensure accurate, timeous, quality of, placing, receiving dispatching and receipting of kits, through inspection, and system capturing processing.
    • Align, implement, localize regional and global kit strategies.
    • Oversee kit deviations on damages, missing, non-functional, spoilt, short expiry, discrepancies and ensure the appropriate action is taken to resolve.
    • Verify physical locations of kits. Correct storage, conditions, orientation and space utilization.
    • Monitor and correct product classifications and system locations to reflect the accurate kit information. Ensure correct transfers and movements of inventory for kits.
    • Maintain good housekeeping within all the areas the kitroom.
    • Manage capacity and find solutions to optimize kitroom space.
    • Kit replenishment and outbound inventory allocations should be in accordance to FEFO/FIFO principles and needs monitoring, and correction where necessary.
    • Plan, direct and record kit inventory counts (cycle counts and full inventory counts).
    • Analyze kit inventory to find optimal kit inventory levels that complement the continuous flow and that support business objectives.
    • Reconcile, sign off and record all kit inventory counts. Report on deviations and propose corrective actions.
    • Manage kit inventory write of processing in conjunction with finance and find root causes for better utilization opportunities.
    • Collaborate with the operations team on kit replenishment, and allocations.
    • Ensure all kit inventory is prepared, picked accurately, sufficiently packed and correctly distributed to customers, stakeholders and branches.
    • Monitor the local distribution and provide communication and updates to business.
    • Manage the reverse logistics and kit returns.
    • Manage, account for and create action plans for all inventory and excess stock in the area ensuring that the inventory will be utilized.
    • Continuously analyze bill of materials for accuracy and efficiency while providing advice and support to business stakeholders on kit recommendations.
    • Oversee the build of kits or kit customization to ensure the bill of materials are matched to the required configurations and the finished product is in accordance to set out requirements.
    • Perform quality checks and take corrective action on kits so that they are always presentable and in good working order.
    • Maintain quality of the kit in collaboration with the business stakeholders providing guidance on replacement requirements and solutions.
    • Control bookings and have oversight for proper planning, and service delivery.
    • Take responsibility for and see emergency kit situations through to completion.
    • Plan appropriate maintenance of equipment that support the kit process, circumventing potential downtime and loss of revenue.
    • Monitor, trace and control kit and inventory ensuring it is always accounted for.
    • Ensure the accurate and correct processing of kit usages to facilitate timeous and accurate billing that meets customer service level expectations.
    • Work closely with the customer service manager and the challenges around case bookings, usages, system processing and corrective actions.
    • Provide support to the warehouse for inventory distribution moving through the branch to customers or stakeholders
    • Support the customer logistics strategy for the Stryker SA market in the area of responsibility. This will require an operational review continuously of all processes, procedures, and resources with the whole operations leadership team.
    • Lead and implement projects within the team and cross-functional teams, to further improve the department, resulting in increased customer satisfaction, increased efficiency, lower costs and optimized kit processes.
    • Be part of regional and global, working groups, best practice sharing, initiatives or integrations which will require project management for incorporation into the kit processes.
    • Develop, implement and maintain standard operating procedures.
    • Support RAQA and Finance with audit requirements. In addition, RAQA also require support on product regulatory and quality processes. Finance will require support on revenue recognition.
    • Manage the sourcing, purchasing and supply of required warehouse consumables, equipment, tools, supplies and other needs for the kitroom function through the correct processes and DOA.
    • Continuously conduct root cause analysis and investigate opportunities for continuous improvement.
    • Ensure the entire kit operation and team is compliant to SOX, FCPA, Financial, Quality and regulatory, legal, HR and compliance policies and procedures.
    • Ensure system accuracy, processing and updates always.
    • All records and documents should always be stored and readily available.
    • Be accountable to support the Operations & Logistics Manager in achieving departmental objectives, divisional KPIs and the overall responsibility.
    • Travel as required to support the kitroom operations nationally

    Formal Education

    • Project Management and/or Finance qualifications (Advantageous)

    Work Experience

    • 5 Years + in medical operations, logistics, supply chain, warehousing or distribution operations
    • Project management
