A vacancy exists for a Clinic Administrator within Life Health Solutions, based in Port Elizabeth, Eastern Cape and reporting to the Clinic Sister. The Clinic Administrator will be responsible for managing all the administrative and relevant functions in the occupational health setup as well as indicated Regional Office Administration.
Critical Outputs
Ensure smooth organisation and implementation of all administrative requirements as set out by the scope of the contract.
Assist with reception duties by receiving people and telephone calls, directing employees and visitors to the appropriate person Maintaining employee medical files
Capturing medical record data for statistical and monitoring purposes
Recalling employees for follow up at the clinic
Scheduling all appointments for the Clinic Sister
Ensure the ordering of stationary for the clinic and that appropriate stock is available at all times Assist with the compilation of presentation materials and reports for managers and clinic personnel.
Ensure collation of stock count and input data for the whole region.
Management of the equipment asset register and scheduling of services and calibration of equipment.
Process and record leave application forms.
Collate timesheets, locum bookings and prepare locum spreadsheets for salary payments.
Control and obtain authorisation of all medicine orders and keep a record of actual costs against the budget.
Invoice all clients for fee for service work.
Be responsible for the upkeep and maintenance of all ISO/Quality Systems related to job.
Safety Rep Responsibilities as delegated.
Assist all staff where necessary with computer hardware or software related issues.
Delivering of stock to the regional clinics.
Requirements
Experience in office administration, secretarial and reception duties will be an advantage
Ability to use Microsoft Office, specifically Word, Excel and outlook
