    Operations Administrator

    The purpose of this role is to be the administrative support for the Implementation Manager and Head Of Operations for the campaign. Also be responsible and accountable for knowledge of key personnel both internal and external and understand the key aims and objectives of the business.     Key Responsibilities

    • To be the first line support to the Implementation Manager and Head of Operations.
    • You will be responsible for the creation of logins for the Operational teams and to cascade accordingly, as required.
    • You will need to work through payroll files – updating, collation, submission etc.
    • Take minutes and publish / follow up on actions for MBR’s/Weekly performance review
    • Balance delivery of key tasks, prioritising work according to business pressures and deliverables.
    • Prepare a variety of documents, using standard formats/packages minutes at meetings, adhering to brand guidelines and regulatory requirements.
    • Undertake ad hoc ‘projects’, involving appropriate research and planning, organisation of resources and tracking key deliverables and milestones.
    • Sensitive management of confidential and personal information.
    • Co-ordinate events/meetings, making all necessary arrangements, preparing advance documentation and ensuring appropriate recording and follow up actions.
    • Provide a professional diary/time management service, building in regular meetings and performance effectiveness.
    • Make travel arrangements (rail/air/accommodation), booking in advance where possible to ensure cost effectiveness.
    • Prioritise, acknowledge and distribute correspondence.
    • Manage professional response to telephone calls, taking ownership of queries.
    • Management of email system, prioritising & responding where appropriate.
    • Undertake routine administrative tasks such as filing, photocopying, faxing and collating of information.
    • Establish and maintain administrative systems and processes which ensure appropriate document storage and retrieval.
    • Supporting cross account initiatives as required.
    • Compliance – to ensure that you understand and adhere to companies published Code of Conduct and, where appropriate, comply with all relevant regulatory policies. This includes completion of any mandatory training requirements.
    • Responsible for appropriate communications.
    • A requirement to travel to other business sites if required.
    • There will be a requirement to support with the campaigns weekend hero validations and also team leader scorecard to be put together and provided to payroll

    Minimum Requirements

    Minimum Qualification: Matric (Completed)

    Minimum Experience

    • 2-3 years in similar position
    • IT software packages including Word, Excel, PowerPoint, Outlook
    • Relevant practical experience, preferably in a BPO environment
    • Eloquent English vocabulary
