    Operations and Planning Manager

    The role:

    Summary:

    The Operations and Planning Manager at Valenture Institute is responsible for enabling the business’ overall operational performance through effective resource and capacity planning, driver optimisation, end-to-end process management, as well as managing and maintaining the company’s master academic schedule and timetabling.

    This role focuses on improving productivity, efficiency and profitability over time through oversight of effective resource and capacity planning, KPI Management, ongoing process and workflow improvements and systems management.

    They will work closely with the Project Management Office and Senior Business Operations Manager to drive medium- and long-term strategic operational projects across the company. Additionally, this role works very closely with the Student Experience and Programme Design Divisions to ensure that all academic programmes are effectively planned for and scheduled to cater for exam planning, cohort transitions, cycle test scheduling and timetabling.

    Responsibilities:

    Planning:

    • Create and maintain the company’s master academic schedule, outlining key intake dates, exam schedules, test blocks, holidays and special events or days.
    • Oversee academic planning for new curriculum builds and work with the Programme Design division to ensure that capacity and costing has been thoroughly scoped.
    • Work with the Senior Business Operations Manager to operationalise new strategic business opportunities that impact existing business processes and capacity.
    • Develop and manage a system for policy and process management as well as established review periods to ensure that they remain relevant and up to date.

    Operations:

    • Define and optimise key business unit KPIs and the associated management mechanisms to inform continuous improvement initiatives and to ensure key variances are accounted for.
    • Define headcount drivers per function to inform annual and quarterly budgeting requirements.
    • Monitor and manage effective capacity planning and resource utilisation over time to iterate and refine hiring drivers and resourcing models per function to result in accurate hiring forecasts, with minimal variance.
    • Partner with the Technical Project Manager and Tech teams to identify opportunities for tech-related solutions that support long-term scaling and productivity.

    Requirements

    • 3-5 years experience in operations management
    • Bachelor's Degree in a related technical field
    • Experience in agile project management methodologies
    • Exposure to continuous improvement/ Six Sigma methodologies (advantageous)
    • Demonstrated ability in leading cross-functional organizational improvement project teams to success
    • Ability to influence at all levels.
    • Demonstrated resource management and process improvement experience.
    • Strong Google Sheets / Excel skills
    • Strong lateral thinking skills and problem-solving abilities.
    • Ability to self-direct and work under pressure to tight deadlines.
    • Strong organizational, time management and planning skills.
    • Excellent verbal and written communication.
    • Future-focused.
    • Previous experience working with budgets and financial models.
