Ensuring the smooth and efficient running of a cash-based dental practice, this role serves as the first point of contact for all patients. Working 2 days per week (Wednesdays and Thursdays only) from 8am to 5pm on a one-year fixed-term contract, the position requires exceptional organisational and administrative skills to manage appointments, patient enquiries, and practice operations effectively. Supporting four dentists and an oral hygienist, the successful candidate will provide comprehensive reception, patient care, and accounting support to maintain high standards of service delivery. R8 000 per month.
Key Responsibilities
Welcome all patients and handle enquiries via phone, email, and in person.
Ensure all incoming emails are answered within four hours of receipt.
Book accurate appointments for four dentists and one oral hygienist, allocating the correct time for requested procedures.
Alert dentists upon patient arrival and ensure dental nurses write up daily patient lists.
Send WhatsApp appointment confirmations 24 hours in advance and day-before reminders.
Manage cancellation lists to fill diary gaps and telephone patients to ensure attendance.
Liaise with dentists to arrange patient scripts and provide basic care advice.
Process debit and credit card payments from patients immediately upon completion of their treatment.
Utilise the ExACT software package to update patient details, manage information, and record payments.
Allocate daily payments, process monthly deposit lists, and print monthly age analyses to share with the dentist.
Follow up on unpaid accounts via email or phone, send accounts for medical aid submission once paid, and escalate non-payments to debt collectors only upon instruction.
Receive and sign for parcels, ensuring the reception area remains neat and clean at all times.
Manage petty cash for kitchen and cleaning supplies, ensuring the practice is well-stocked.
Monitor and order stationery, business cards, and prescription pads.
Track stock levels of Opalescence and Zoom, noting sales, and place orders with suppliers as instructed.
Requirements
Proven organisational and administrative skills.
Experience managing the reception of a busy medical practice
Working knowledge of dental products to effectively negotiate the best deals with suppliers would be an advantage
Software Skills
The practice uses Elixir and ExACT, although training can be provided
