Grade 10 or equivalent qualification or ABET Level 4. Zero (0) to 2 years’ relevant working experience. Exposure to Registry unit will be an added advantage. Knowledge of the filing system or file plan. Knowledge of record management prescripts and departmental policies.
General knowledge of Registry duties, practices as well as the ability to capture data, operate computer and collecting statistics.
Knowledge of Registry and its operations will be an added advantage. Knowledge and understanding of the legislative frameworks governing the Public Service.
Competencies: Communication skills, interpersonal relations, problem solving, organising skills, punctuality, innovative, client focused, goal driven, self-motivated, computer literacy with emphasis on MS Word, MS PowerPoint and MS Excel. Ability to work independently and under pressure.
Duties :
Operate the franking machine and ensure availability of funds. Maintain the filing system or file plan. Conduct bi-annual file plan workshops. Retrieve and dispose of absolute records and files.
Responsibility for safe keeping and ensuring that faulty copy machines are reported immediately. Copy documents from different units. Operate office machines in relation to the registry function. Process documents for archiving and disposal. Stamping of outgoing mail. Stamping of mandates from central office.
Fetching mail from the Post Office. Responsible for own area orders receiving and control of toners assist and with the application control measures. Perform duties as assigned by the supervisor/manager. Electronically distribute circular letters, circular minutes, and memorandums. Maintain confidentiality in the Registry office. Perform general administrative duties.
