    Job Description

    We are seeking a dedicated Junior Sales Operations and Admin Intern to provide critical business support to our Africa team as part of the broader Asia-Pacific, Japan, Middle East and Africa region (APJ MEA). Primarily a customer-centric business working through partners, the Africa business is focused on delivering strategic projects to key customers, and in supporting our exclusive business partner in the region with their software and services sales activities.

    You will be required to provide sales operations support to the sales team, helping to process orders and issue customer license keys; admin support to the project teams to help with their project administration and the booking and processing of project and license revenues when they come in from existing and new customers and partners; and business operations support to help process purchase orders and ensure smooth running of the administration tasks within the local entity – as required by the team and the region Finance and Consulting business units.

    This role is a learnership / internship role and as such you will be required to successfully complete mandatory additional career development and training as befits your responsibilities and skills development requirements and objectives. This is part of IFS’ continued development and investment into growing future business leaders in South Africa.

    YOUR OPPORTUNITY AND RESPONSIBILITY

    This position provides an excellent opportunity to develop your business operations, sales operations and administration skills by working within a continuously evolving operations & admin function as part of a dynamic and rapidly growing business in a global organization.

    Responsibilities include (but not limited to) – SALES OPERATIONS:

    • Assist with preparation of documentation and other deliverables in projects as needed and directed by the project managers;

    • Help the project managers to accurately record all project related costs including booking of time to correct project codes.

    • Ensure sub-contractors are also accurately recording time and costs for projects

    • Assist with any other project admin as required.

    Responsibilities include (but not limited to) – BUSINESS OPERATIONS:

    • Oversee that the office runs smoothly, and that general office admin and services are completed weekly.

    • Ensure purchase orders are raised timeously for suppliers.

    • Ensure invoices are correctly submitted for processing by suppliers;

    • Assist the Finance Team as needed to ensure accurate invoicing to customers and partners as needed;

    • Assist with the annual B-BBEE administration and provision of records to ensure a successful B-BBEE audit (strongly assisted by an external B-BBEE specialty firm).

    • Ensure all supporting documentation is accurately and timeously provided to ensure a successful audit result. This will include keeping up to date records of BBBEE status of our existing partners and suppliers.

    • Assist with any other business operations and admin as required.

    • Assist with any other project admin as required.

    Qualifications

    To be a successful Junior Sales Operations and Admin Manager at IFS your mindset will be the key factor, but to get even further we would like you to have a relevant academic degree in Finance/Business administration.

    You should also have:

    • Minimum 3 years of working experience;

    • Experience in finance or administration of a software or professional services business;

    • Advanced skills in Microsoft Office including Excel;

    • Experience working with an ERP system such as SAGE; Oracle; SAP or IFS ERP is a strong advantage;

    • Experience with / understanding of South African B-BBEE requirements would be a strong advantage;

    • Strong sense of ownership and willingness to roll up your sleeves;

    • Strong communication, organization and documentation skills;

    • Great interpersonal / teamwork skills;

    • Ability to self-manage and work remotely whilst maintaining a professional and high work rate.

    • A keen sense of urgency and drive to achieve results.

    • Passion for detail orientated tasks and processes, documenting or providing input to optimize existing processes where needed.
