    Secretary (Executive)

    Key responsibilities

    • Optimise senior management time by screening calls and visitors, managing senior managers’ calendars and coordinating meeting room bookings and venue logistics.
    • Provide high-quality administrative and secretarial support, including drafting and formatting correspondence, reports and internal memoranda.
    • Coordinate and manage internal and external meetings and events, prepare agendas, and take and distribute accurate minutes and action lists where required.
    • Arrange complex travel itineraries and accommodation for senior managers.
    • Devise, maintain and improve office systems, filing and document control.
    • Manage procurement and inventory of office consumables and services.
    • Coordinate and manage internal communications and act as a professional point of contact for external stakeholders.
    • Oversee and supervise Administration staff, manage workloads and performance.
    • Handle confidential information with discretion and maintain the highest standards of confidentiality and professionalism.

    Essential qualifications and experience

    • Grade 12 (NQF Level 4) or equivalent.
    • 5 years’ secretarial or related administrative experience in a similar role; or alternatively a minimum 2 years’ experience in a similar role with a recognized Office Management / Secretarial diploma.
    • Strong MS Office skills (Word, Excel, PowerPoint, Outlook); experience with SAP S/4HANA and Coupa advantageous.
    • Excellent English written and verbal communication skills.
    • Excellent organisational skills, time management and attention to detail.
    • Proven ability to work under pressure, prioritise and meet tight deadlines.
    • Demonstrated discretion and ability to handle confidential matters.
    • Experience supporting senior executives in a corporate, mining or heavy-industry environment.
    • Presentation design skills and experience preparing executive-level briefings.
    • Event coordination experience and stakeholder management skills.
