    Senior Administration Assistant

    Duties & Responsibilities

    • Informing staff of the guest arrival to our office 
    •  Maintain office cleanliness by communicating with outsourced service provider. 
    • Schedule and coordinate travel desk arrangements for staff and international guest coming to Mitsui. 
    • Monitor and maintain inventory of office supplies and place orders when necessary.
    • Ensure all office equipment is in good working condition and arrange for repairs when needed. • Liaise with vendors to ensure timely delivery of supplies. 
    • Organize and maintain documents, reports, and records. 
    • Ensure confidentiality and security of sensitive information. 
    • Communicate effectively with internal staff and external contacts. 
    • Provide administrative support to managers as needed.
    •  Assist in organizing company events 
    • Proficiency in MS Office Suite (Word, Excel, PowerPoint, Outlook).
    • Identify administrative problems and inefficiencies.

    Desired Experience & Qualifications

    • Appropriate Diploma or Equivalent
    • Minimum 3 years of Administrative Assistant experience
    • Proven experience as an office administrator, office assistant, or relevant role.
    • Proficiency in office management software and ability to operate standard office equipment.
    • Excellent organizational and time-management skills.
    • Strong written and verbal communication skills.
    • Attention to detail and problem-solving skills.
    • Ability to multi-task and prioritize tasks effectively.
    • Professional demeanor and ability to maintain confidentiality.
    • Flexibility and adaptability to changing workloads
