    Service Coordinator

    Duties & Responsibilities    

    ADMINISTRATION 

    Opening Service Jobs:

    • Initiate and coordinate the creation of service jobs, ensuring accurate documentation of job details and client requirements.
    • Collaborate with the service team to gather necessary information for job initiation.

    Ordering Stock:

    • Manage inventory levels by placing orders for necessary stock and equipment.
    • Coordinate with suppliers to ensure timely delivery and maintain optimal stock levels.

    Invoicing Services Jobs:

    • Generate accurate and timely invoices for completed service jobs, incorporating all relevant charges and expenses.
    • Verify job details against service agreements and contracts to ensure correct billing.

    Scheduling Services Jobs:

    • Efficiently schedule service jobs, considering factors such as technician availability, client preferences, and job urgency.
    • Communicate schedules to the service team, ensuring alignment with customer expectations.

    Arranging Supplier Payment:

    • Facilitate the processing of supplier invoices and ensure timely payments.
    • Maintain strong relationships with suppliers to negotiate favourable terms and resolve any payment issues.

    Monthly Reporting:

    • Prepare comprehensive monthly reports detailing the status of opened versus invoiced service jobs.
    • Provide forecasts for the upcoming month regarding invoiceable jobs, assisting in financial planning and resource allocation.

    Skills and Competencies    

    • Proven experience in service coordination or a related field.
    • Strong organizational skills with the ability to manage multiple tasks simultaneously.
    • Proficient in using job management software and MS Office applications.
    • Excellent communication skills for effective collaboration with internal teams, clients, and suppliers.
    • Detail-oriented with a focus on accuracy in invoicing and reporting.
    • Ability to analyse data and generate insights for continuous process improvement.
    • Knowledge of inventory management practices and procurement processes.  

    Qualifications    

    • Grade 12 
    • Computer Literate / Certificate
    • Office Administration Certificate
