    Service & Parts Advisor - Rola VW Vredenburg

    Job Advert Summary    

    • Are you passionate about delivering exceptional customer service while keeping operations running smoothly behind the scenes? Rola  VW Vredenburg is looking for a dynamic and detail-oriented Service Advisor & Parts Administrator to join our team.
    • In this dual role, you’ll be the first point of contact for customers, managing appointments, vehicle reception, and service follow-ups, while also ensuring accurate parts administration and financial controls. You’ll play a key role in coordinating workshop activities, supporting technicians, and maintaining strong relationships with both customers and suppliers.

    Minimum Requirements    

    • Matric/Grade 12 (essential).
    • 2–3 years’ experience in a dealership/service advisor or parts admin role.
    • Proven track record in customer service and workshop operations.
    • Knowledge of vehicle service processes, workshop operations, and parts management.
    • Computer literacy (MS Office, dealership management systems, accounting software)
    • Excellent communication and interpersonal skills (customer-facing and internal coordination).
    • Strong organizational and time management abilities.
    • Attention to detail and accuracy in documentation, invoicing, and reconciliation.
    • Problem-solving and decision-making skills.
    • Ability to multitask under pressure and meet deadlines.
    • Fluent in Afrikaans and English.
    • Clear criminal record
    • Valid code08 drivers lisence

    Duties and Responsibilities    
    Customer Appointment & Reception

    • Manage appointment scheduling, customer details, and vehicle concerns.
    • Confirm scope of work, costs, timing, payment, and mobility alternatives.
    • Welcome customers, check vehicle data, conduct inspections/pre-diagnosis, and agree on repair scope.

    Work Preparation & Monitoring

    • Communicate workshop orders to technicians.
    • Monitor repair/maintenance progress, update customers, and document work performed.

    Order Completion & Vehicle Hand-over

    • Initiate billing, allocate liability, and ensure invoice accuracy.
    • Conduct quality checks, document completed/pending work, and ensure vehicle cleanliness.
    • Explain work performed, outstanding recommendations, and risks if declined.
    • Professionally hand over the vehicle and ensure customer satisfaction.

    Service Follow-up & Customer Care

    • Conduct follow-up calls, assess satisfaction, and manage complaints.
    • Implement customer service standards and note suggestions for improvement.

    Workshop & Parts Support

    • Optimize workshop loading and resource allocation.
    • Prepare and manage parts requisitions, acceptance, identification, and delivery updates.
    • Support emergency service and overflow calls from parts salesmen.
