    Shared Services Administrator

    BDO South Africa has a vacancy for a Shared Services Administrator in its Johannesburg offices. Shared Services Administrators help support the shared services executives and team as needed. Administrators work in a fast-paced office environment in which accountability is key. Hours may vary greatly depending on the needs of the company and its executives; however, the administrator can generally expect to work during regular business hours.
    The Shared Services Administrator will inter alia be responsible for;

    • Handling all administrative functions e.g. arranging travel, prepare calendars, correspondence, summaries, financial statements, meeting packs and other documents.
    • Taking part in meetings, preparing meeting agendas and recording minutes
    • Following up on deliverables of team members
    • Keeping a watch on all office supplies and equipment and replenishing stock as items run out.
    • Producing status reports, financial reports and any other reports that are required
    • Preparing presentations
    • Collaborating with other administrative staff, financial department and other team members to complete reports etc.
    • File, retrieve and organize organizational documents, invoices and orders.
    • Managing ad hoc projects
    • Capturing / updating information on databases as required
    • Assisting with on-boarding/training of new staff

    Qualifications Required:

    • A Bachelor’s degree in Business Administration will be advantageous.

    Experience:

    • +5 years’ experience in the following areas is required:
    • Previous experience in administrative support
    • Experience and expertise in Microsoft Outlook, Word, Excel, PowerPoint and expense reporting applications

    Knowledge, Skills and Competencies Required:

    • Ability to work independently with minimal supervision
    • Expert knowledge of Microsoft Office applications viz. Word, Excel, Powerpoint etc.
    • Organizational skills and the ability to multitask are essential
    • Critical thinking skills
    • Decision making skills
    • Excellent written and verbal communication
    • Must be able to communicate effectively at all levels
    • Ability to work under pressure
    • Fine attention to detail
    • Good interpersonal/teamwork skills will be required to be successful in this role.
    • A high level of initiative and ability to work independently to meet deadlines.
