Your ability to organize, schedule and track workflows will be key to supporting the Operations Director and ensuring campaigns meet high standards of quality and timeliness.
    • You will provide operational guidance, maintain project visibility, and ensure accountability across teams, ensuring all work is delivered on time, within scope, and to the agency’s quality standards.

    Responsibilities

Your duties will include but are not limited to:

     Brief Management

    • Receive, review, and allocate briefs to relevant teams, taking workload and availability into account.
    • Ensure briefs are complete, accurate, and technically correct; reject if not aligned with the checklist.
    • Allocate briefs to the appropriate teams in consultation with CD’s & ECD where required and track outputs to ensure timely delivery.
    • Maintain accountability for timelines once briefs are accepted.

    Resource & Capacity Management

    • Maintain full knowledge of team skill sets and capacity.
    • Track and monitor project hours; identify risks related to over/under-utilization.
    • Proactively manage workloads and adjust allocations to prevent bottlenecks.
    • Ensure resources are optimally deployed to meet project demands.

    Scheduling & Workflow Coordination

    • Assign tasks to resources with time-specific allocations rather than blanket bookings.
    • Schedule brief-ins, reviews and internal creative meetings.
    • Conduct daily AM & PM check-ins to monitor progress and escalate issues.
    • Liaise with production to align on schedules and milestone delivery.
    • Ensure QA is completed on all outputs prior to delivery.

    Relationship Management

    • Serve as the central point of communication between Account Management, Strategy, Creative, Production and Media.
    • Act as the “calming force” in a pressurized environment, facilitating collaboration and resolving conflicts.
    • Maintain transparency and clarity in communications to keep all teams aligned.

    Process Optimization

    • Support the Operations Director in streamlining project workflows.
    • Identify and implement improvements in brief-to-delivery processes.
    • Track project progress, escalate risks and suggest mitigation strategies

    Qualifications

    • Education: Advertising, Marketing or a related field.
    • Experience: 5+ years of Traffic/Project Management experience in a traditional advertising agency, managing integrated campaigns across ATL, BTL and Digital platforms.
    • Multi-Brand Project Management: Proven ability to manage multiple, complex campaigns simultaneously, balancing competing priorities and ensuring seamless execution.
    • Resource & Workflow Expertise: Strong understanding of creative, media, and production processes.
    • Project Coordination & Scheduling: Skilled at time-specific resource allocation and task tracking.
    • Creative & Media Workflow Expertise: Deep understanding of the creative process—from concept to execution—including experience managing the flow between creative, production, media and final delivery.
    • Risk Mitigation & Problem-Solving: Strong analytical skills to proactively identify and resolve project risks before they impact timelines, budgets or quality.
    • Exceptional Communication & Collaboration: Ability to manage expectations across departments, management, and cross-functional teams while fostering collaboration.
    • High-Pressure Execution: Comfortable leading high-stakes projects in a fast-paced, evolving environment, ensuring on-time delivery without compromising quality.
