    Branch Manager - Pest Control & Amp; Hygiene (Gauteng)

    Description

    • Ecowize is looking for a skilled and highly competent Branch Manager to join the Pest Control & Hygiene Division in Cape Town. The purpose of this role is to provide leadership to all colleagues within the branch; ensure that the highest quality of customer service is provided for all the delivery systems within the division; provide administrative support in areas of compliance, regulations, policies and procedures.
    • The Branch Manager consults with the managers of Human resources, Finance and other Head Office functions in matters relating to job function.

    • Financial Focus on managing Business Development, Profitability of Branch by ensuring efficiencies and Asset Management. Expenses are to be within budget, reported accurately and timeously. Ensure continuous development and understanding of relevant financial processes for yourself and team.
    • People Focus on empowering, developing, and motivating teams and individuals to perform at their best through training initiatives to enhance service delivery.
    • Compliance Focus to ensure that all regulatory measures are consistently applied, in terms of Health and Safety, Food safety, Audit standards and SAPCA (South African Pest Control Association) regulations.

     Key Responsibilities:

    Management of Budgets:

    • Actively listening to the customer’s needs and deliver on customer expectations.
    • Identify resources, assign workloads, and manage schedules to ensure timely deliveries.
    • Ensure high quality service has been provided to all customers on time by:
    • Meeting customer needs.
    • Regularly engage with the customer base.
    • Retaining customer base.
    • Task Service Controller on Apptivo to schedule installation in EcoGSE
    • Review and ensure that all services have been completed in accordance with company standards.
    • Review and action all potential terminations.
    • Resolve business issues and ensure that all escalated issues are resolved and closed.
    • Address business inquiries from customers.
    • Ensure that customer satisfaction issues are addressed promptly.
    • Regularly engage with the customer base (monthly, quarterly).
    • Evaluate Branch performance and recommend new strategies for performance improvements.
    • Achieve monthly, forecasts and annual budgets by:
    • Effectively managing activities and performance of the team to achieve budgets.
    • Executing and Achieving sales Strategy.
    • Provide regular feedback to Executive on progress on specific budget achievements.
    • Accuracy of management financial reports.
    • Variances between forecast and actual with or without pro-active comments.
    • Action increases annually
    • Develop and enforce best practices to ensure operational efficiency.
    • Recommend cost-reduction initiatives while maintaining productivity and quality.
    • Direct all operational aspects of the division in a manner that support reaching of all Goals and objectives.
    • Manage branch budgets and provide feedback to the Executive on progress.
    • Ensure reporting and management accounts are accurate and correct.
    • Constantly assess the local market conditions and identify opportunities and challenges.
    • Identify current and prospective opportunities to assist the sales force.
    • Develop forecasts, financial objectives and business strategies for the division.
    • Be responsible and accountable for the growth and development of all colleagues within the division.
    • Ensure that correct ratios are achieved with regards to revenue and opex.
    • Ensure and assist with Accounts receivable activities to ensure debt is collected.
    • Ensure that invoices are raised timeously.
    • Ensure that all Suppliers invoices are authorised for payment.
    • Ensure that price increases are actioned annually.

    Human Resource management:

    • Oversee staffing adjustments to obtain maximum productivity.
    • Ensure that Payroll is correct.
    • Manage your headcount according to budget.
    • Manage annual increases.
    • Identify eligible adjustments for staff.
    • Check and verify the sales commission sheet submitted by the sales consultants.
    • Submit monthly commission sheets.

    Performance Management:

    • Manage individual and team performance.
    • Assist with mentoring and coaching of underperforming colleagues.
    • Ensure there are regularly meetings with all colleagues.
    • Ensure that the Service Colleagues are correctly equipped to conduct the services.
    • Ensure that the Service Colleagues are correctly trained to conduct the services.
    • Ensure effective communication to all stakeholders.
    • Provide regular constructive feedback to teams and individuals.
    • Address employee satisfaction issues promptly.
    • Provide guidance to team members and monitor their performance, discipline, and attendance on regular basis.
    • To identify areas of improvements and concerns and accordingly develop action plans.
    • Management surveys
    • Conduct quarterly performance reviews.
    • Ensure performance improvement plans are actioned for underperforming staff.
    • Assist in employee recruitment, performance evaluation promotion, retention, and termination activities.
    • Ensure all leave is well managed.
    • Action staff requisitions with recruitment department.
    • Action promotions in line with succession plan.
    • Action termination controls timeously.

    Manage Training Initiatives:

    • Identify skill gaps and provide appropriate trainings to team.
    • Develop and enforce best practices to ensure operational efficiency.
    • Ensure that all employees are inducted (induction attendance register)
    • Action training as and when required
    • Ensure that team is assessed regularly

    Asset Management

    • Ensure vehicles and equipment is in a working condition.
    • Reviewing vehicle and equipment checklists.
    • Ensure damages are reported.
    • Ensure maintenance Is done promptly.
    • Ensure that all items requiring capex are authorized.
    • Ensure company assets are well managed and accounted for.
    • Ensure correct inventory levels are maintained.

    Business Development:

    • Conduct business in the manner which will support group targets and objectives.
    • Review sales pipelines with consultants weekly
    • Notify sales consultants of any changes made to commission sheets submitted.
    • Develop new business programs to meet productivity and revenue goals.

    Manage Health and Safety:

    • To ensure Health & Safety is always a priority within the Division.
    • To ensure teams are trained on policies and procedures.
    • Ensure 100% compliance to the policies and procedures set by the company.
    • Ensure that services are conducted in line with Health, Safety and Environmental requirements.
    • Monitor number of IOD's 
    • Responsible for WCA claims through HR Department.

    Requirements

    • Grade 12
    • Relevant degree/diploma (Advantageous)
    • Knowledge of Pest Control and Hygiene Industry
    • Knowledge of the Cleaning or Service industry
    • 3-5 Years Experience in Branch Management
    • Financial Management (proven history of profit and loss management)
    • Experience in asset management.
    • Understanding of HR processes and policies.
    • Knowledge of Total Quality Management (TQM) principles.
    • Strong management and delegation skills.
    • Operational and service delivery experience.

    Site Manager - Vaaloewer (North West)

    Description

    • We are growing our Cleaning Services and require skilled and competent Site Managers to join the Ecowize Group. 

    Job Specification: 

    • Manage and coordinate all operational functions on site. 
    • Delivery a daily Food Safe Facility to customer standards.  
    • Use information obtained at the site to complete inspections, micros, audits, and customer feedback. 
    • Managing of site budgets and manage man-hours as per shift schedule.  
    • Responsible for staff management and resolving HR related matters.  
    • Coaching and mentoring of staff as well as developing skills. 
    • Drive Occupational Health and Safety and make recommendations to improve the process.  
    • Ensure internal audits meet daily requirements.  
    • Close out any raised non – conformance of micros out of specification and following up on NCR’s. 
    • Liaise daily with customers.  
    • Assist with recruitment for the region as the need arises.  
    • Assist with coordinating training interventions at site level.  

    Requirements

    Job Requirements: 

    • Grade 12.
    • Deep cleaning experience is essential.
    • Wet plant cleaning experience is advantageous.
    • Management /or Food Technology Qualification (advantageous). 
    • Experience in FMCG and or cleaning industry essential. 
    • Staff Management and Labour Relations experience is essential.  
    • Experience working with a Hygiene Quality Management System is advantageous. 
    • Own reliable transport essential and willingness to travel.  
    • Good command of the English Language. 
    • High-Quality administrative skills required. 
    • Be flexible to work at different shifts.

    Receptionist – Fixed-Term Contract (6 Months) - Western Cape (Western Cape)

    Description

    • Ecowize is looking for a skilled and highly competent Receptionist to join the Cape Town team for a Fixed-Term Contract (6 Months), to support management at all levels of the organization and create a welcoming experience for all visitors, whether it is face to face, online or telephonic.
    • To ensure adequate supply of the required stationary, packaging materials, housekeeping products and office groceries and ensure accurate controls are in place.   Manage risk by highlighting important information to the responsible manager.

    High-level Job Objectives

    • Create a welcoming experience for all visitors and manage the switchboard effectively.
    • Provide general administrative support in a timely and efficient manner.
    • Staff management (housekeeping and groundskeeping)
    • Stock control and general building maintenance

    Key Responsibilities:

    • Ensure effective management of the switchboard by answering, screening, and forwarding incoming calls in a professional manner. 
    • Provide basic and accurate information in-person and via phone/email by transferring calls to the appropriate department or person within the expected timeframe. When transferring calls, ensure to first speak to the person receiving the call to explain who is calling and in connection with what.
    • Delighting customers on first contact and interaction. Warmly greet and welcome guests as soon as they arrive at the office, also ensure they are always offered refreshments.
    • Gather all required information pertaining to queries before escalating it appropriately
    • Provide customer with relevant information and contact details of relevant internal stakeholders to ensure queries are resolved or escalated within the expected timeframe. Always have an up-to-date organogram and contact list of who to contact for what.
    • Ensure switchboard systems are in a working condition and escalate when issues are not resolved. Issues escalated pro-actively to line manager.
    • Ensure reception area is clean and neat. Ad-hoc checks by line manager.  Packages to be collected must not be stored in the reception area.
    • Ensure own appearance is neat and professional with a positive, friendly attitude. Feedback from internal and external stakeholders. 
    • To be consistent in arriving punctually at the office and communicate and plan if time off required.
    • Coordinate tasks, assist team with solving problems, escalate concerns raised by housekeeping and groundskeeper team and Drive constructive conversations to ensure a feasible outcome.
    • Provide general administrative or office assistance on a regular or ad-hoc basis. Ensure that these tasks are completed accurately and within the required time.
    • Coordinate shipments for courier services, communicate collection of deliveries, prepare and package supplies for shipment e.g., PPE, Equipment, Corporate Apparel, Staff and Customer Gifts.
    • Control stationery inventory. Responsible for tidiness and maintenance of the reception area and stationery storeroom /or cupboard and advising of all stationaries required to be ordered and keep a file log off all stationery expensed.
    • Maintenance – Responsible for Water dispenser and Coffee Machine servicing. Arrange the service as and when required upon approval. Assist the Office Coordinator with any maintenance issues, servicing of any equipment – Aircon and Fire Hydrants in Cape town offices, waste removal – Coordinate with removal company.
    • IT – Assist with printer toner orders and any Printer service call outs.

    • Administration or Secretarial qualification (advantageous)
    • Minimum of 2 years’ experience in reception and switchboard management
    • Minimum of 2 years’ general business experience
    • Minimum of 2 years’ experience in general administrative duties
    • Proven experience in professional telephone etiquette (minimum 2 years)

    • Professional communication skills, both online and telephonic
    • Strong interpersonal skills with the ability to build effective working relationships.
