    Administrative Officer 4.05

    Key Responsibilities

    • Act as a first point of contact to ensure smooth running of the office of the Academic Director;
    • Act as the key contact and coordinator for all formal functions and public events pertaining to this office;
    • Ensure that the documentation emanating from the office are handled in a professional and confidential manner;
    • Ensure effective and efficient management of the AD’s diary;
    • Coordinate meetings of senior management staff in conjunction with the AD and relevant offices inside and outside the university;
    • Schedule appointments and coordinate arrangements for meetings and conferences
    • Receive and register incoming and outgoing documents to ensure availability and quality of documents;
    • Prepare regular reports, gather and summarise data relating to the work of the office of the AD
    •  Develop and maintain positive formal/informal links with all staff at the School particularly senior staff;
    • Take minutes for meetings as requested/ authorised by the AD;
    • Prepare presentation material for briefings to clients using MS Package;
    • Coordinate travel arrangements for conferences and seminars through relevant offices;
    • Ensure that confidentiality in this office is maintained and manage situations with discretion at all times and perform other ad-hoc tasks as determined by the AD.

    Minimum Academic and Job experience

    • Matric plus a relevant tertiary qualification;
    • 5 to 7 of administrative, operational and/ or operations working experience within a similar environment; 

    Knowledge Skills and Attitude

    • Strong numeracy, presentation and people skills;
    • Good coordination and organizational skills.
    • Good public relations skills.
    • Excellent interpersonal skills for dealing with staff, business partners and the public;
    • Excellent communication skills with proficiency in English (both written and spoken);
    • Ability to work as part of a team and under pressure at times while maintaining high levels of professionalism;
    • Flexibility and ability to multi task;
    • Able to work independently and meet deadlines;
    • Accuracy and attention to detail;
    • Must be highly motivated and demonstrate initiative and assist with database management and usage.

    Research Administrator 4.05

    Minimum Requirements:

    • A Bachelor’s degree
    • An Honours degree would be an added advantage
    • At least two years’ relevant experience, with some higher education experience (e.g. executive assistant or project administrator) and/or externally-funded grant management experience
    • Good computer skills and experience setting up online meetings (Zoom/MS-Teams)
    • Knowledge and understanding of the higher education sector is required

    Duties amongst others include:

    • Coordinate standing meetings of the CoE (Steering Committee, Scientific Advisory Committee, Annual Focus Area Coordinators Forum and others) as required
    • Arranging travel, accommodation, campus access for the Visiting Researchers to the CoE; arranging timeous payments of financial support to such visitors
    • Deal with Student/Fellow queries surrounding CoE Bursaries and Fellowships, and /University stakeholder queries re Research Grants
    • Responsible for general administration of the CoE-MaSS
    • Responsible for capturing, submitting, and storing annual Nomination Forms to the NRF for approval
    • Assimilating data from various sources and collating Annual progress reports to external funders and internal reporting
    • Ensure that researchers/students meet their deadlines i.t.o submission of information to the Centre for grant reporting to the NRF
    • Perform other tasks or activities which fall within the general functioning of the CoE as determined by the Manager and/or Director of the CoE to further the aims of the Centre

    Key Competencies:

    • Strong interpersonal skills and good communication skills, to work across varied stakeholders (e.g. postgrad students, postdoc fellows, early-career to established researchers, government, industry partners, funders/donors, etc)
    • High-level computer literacy skills (MS Word, Excel, PowerPoint & Outlook)
    • Ability to multi-task, work under pressure and meet tight deadlines

    Regional Lead Researcher

    • CAPSI is looking for four regional lead researchers to be based in Johannesburg but there is a possibility also to be based in the regions of interest. These regions are West Africa, East Africa, North Africa and Southern Africa. Working with other project implementation team, each regional lead researcher will be responsible for the development of the research design, landscaping, selection and training of country partners. In addition, each researcher will work closely with CAPSI team and management and contribute towards the overall design, coordination, management and oversight of the project including research functions in countries for which they are responsible.

    Minimum academic requirements

    • A relevant PhD in any of the following disciplines: Economics, Development Studies, International Development,  Non-Profit  Management and/or Philanthropic Studies, Behavioural Sciences, Statistics, Social Sciences, Data Science and Public Policy Studies.
    • A demonstrable track record of peer reviewed research outputs is essential. A demonstrable track record of research fund raising would be a distinct advantage.
    • Demonstrable expertise in both advanced qualitative and quantitative research methods, including statistical analysis.
    • Excellent written and verbal communication skills in English, fluency in French, Arabic, Swahili, or Portuguese will be an added advantage.
    • Experience in gender and intersectionality research will be an advantage.
    • Must be able to lead multi-stakeholder partnerships.
    • Must be 35 years and below and be a resident of any of the four regions.
