    Administrative Officer (Post Level 11) Department of Mathematical Sciences

    Duties

    • Performing financial administration processes.
    • Ordering materials and equipment.
    • Liaising with staff and students regarding order statuses.
    • Making travel arrangements, including flights, accommodation, car rentals, conference registrations, travel insurance, and subsistence allowances.
    • Processing personal claims for staff and students.
    • Following up on outstanding invoices from creditors.
    • Assisting with invoicing, budget control, payment processing, and expense tracking for research administration.
    • Processing remuneration and ad hoc payments (including student assistants, diverse, and D20 payments).
    • Processing bursary payments.
    • Drawing up and submitting correction journals and journal transfer requests, and following up on these requests as needed.
    • Processing enquiries relating to cost centre and Project and Grants transactions as well as balance enquiries.
    • Providing reception services as required.
    • Overseeing asset management.
    • Completing the annual research output report.
    • Responding to general queries (internal and external) appropriately.
    • Assisting with the organisation of departmental or divisional functions.
    • Providing other administrative support as directed by the Head of Department or Division Head.

    Job Requirements 

    • A post-school qualification (at least NQF Level 7 or equivalent).
    • At least three years' work experience in financial administration, preferable at a higher education institution or a position requiring a similar skill set.
    • Knowledge and experience of financial administration and information systems (such as Oracle Cloud Financial).
    • The ability to liaise appropriately and effectively with individuals at all levels, both within and outside the University.
    • Proven proficiency in the use of the Microsoft Office (Word, Excel, PowerPoint, Outlook and Teams).
    • Excellent verbal and written communication skills in English.
    • The ability to work under pressure without compromising detail and accuracy.
    • Excellent time management skills and the ability to multitask under pressure.
    • Commitment to maintaining strict confidentiality and professional discretion.
    • The ability to work independently as well as in a team.

    Human Resources Client Partner

    • The HR Division is implementing a client-centric service model, which includes client partnering and centres of excellence dedicated to developing strategies, policies, and capacity-building initiatives for both the HR function and the broader university. As part of its operating model, the HR Division has established a Client Partnering function. We are seeking a highly experienced HR Client Partner to join our HR Division. This role resides within the HR function devolved to the faculties and/or PASS departments.
    • This role offers an exciting opportunity to deliver a comprehensive, proactive, and integrated HR service that supports the University's strategic mandate. Of particular importance to HR is the University's strategy to institutionalise a humanising culture. 
    • The incumbent will use HR knowledge to provide sound, context-specific advice and manage the delivery of strategy-aligned human resource solutions across a wide range of complex, multi-faceted people matters.

    • HR Advisory and Strategic Partnering: Becoming immersed in the client base and acting as a trusted advisor to leadership on HR strategy, policy interpretation, and compliance; and providing proactive solutions to mitigate risks and enhance organisational effectiveness.
    • Strategic Workforce Planning: Partnering with leadership teams to align workforce planning, talent management, and succession planning with strategic goals.
    • Advising, coaching and supporting line managers and staff on the full range of HR functions and services such as recruitment and selection, induction, performance management, job evaluation and organisational design, remuneration and benefits, development and training, and staff wellness to ensure consistency with relevant legislation and the University's HR policy and procedures.
    • Advising line managers on Employee Relations policy, process and procedure as it pertains to disciplinary, grievance, restructuring, incapacity, conciliation, mediation, arbitration and compilation of evidence required for all these processes.
    • Client Engagement and Relationship Management: Building strong partnerships with stakeholders and HR Centres of Excellence to deliver integrated HR services and improve employee experience.
    • Change Management: Supporting organisational design, restructuring, and change initiatives through effective communication, stakeholder engagement, and risk mitigation.
    • Project Management: Leading and coordinating HR-related projects, ensuring timely delivery and alignment with institutional priorities.
    • Compliance and Governance: Ensuring adherence to labour legislation, HR policies, and institutional frameworks across all HR processes.

    Job Requirements

    • A relevant NQF 7 qualification in Human Resources or a related field.
    • At least five years' experience in an HR generalist role within a complex organisation.
    • Experience in the full range of HR functions and services.
    • Experience in competency-based interviewing.
    • Experience in a job evaluation system, methodology and processes.
    • Current, in-depth knowledge with experience of legal requirements related to human resources, employee management, and employment laws.
    • Demonstrated competence in strategic thinking, change leadership and change management, data and analytics and relationship management.
    • Analytical thinking abilities to align current organisational design structure with future planning.
    • The ability to analyse, interpret and report on data such as Excel data sheets, absenteeism, remuneration budgets, and diversity statistics.
    • Excellent communication, facilitation and influencing abilities.
    • Exceptional interpersonal and relationship-building skills, and the ability to build trust and credibility along with the ability to manage conflict.
    • Proficiency in the MS Office suite and HR Information systems.
    • Capable of creating and managing well defined project plans which ensure that objectives, initiatives and activities stand the best possible chance of success.
    • Strong administrative skills with the necessary ability to excel under pressure and meet deadlines.
    • Strong problem-solving skills and the ability to navigate complex higher education challenges.

    Recommendation

    • Knowledge of the HR Oracle system.
    • SABPP registration.
    • Experience within the higher education environment.
    • A valid driver's licence.
