    Client Services Administrator

    Description

    • To provide daily and monthly administrative support to ensure that a high standard of quality is maintained in operational processes related to servicing clients.

    Job specification
    People:

    • Ability to communicate with a variety of individuals on all levels to obtain and confirm information
    • Maintain high level of professionalism, competence and confidentiality

    • Liaise with clients’ partners, admin and finance teams

    Processes:

    • Call Centre - receiving and making calls to clients, partners, brokers and administrators
    • CIS transactions – forward to Apex TA’s, including new business, redemptions, switches, transfers, updates
    • Processing rejected instructions on Graphite
    • Ad hoc testing on TCube, Graphite and Web portal
    • Daily monitoring the unreconciled items on Apex Reports and ensuring unallocated funds are followed up on.
    • FICA where applicable.
    • Liaise with partners, investors.
    • Investor and broker queries.
    • Liaise with admin and system administrators.
    • Ensure that all necessary information is maintained and updated in a database for easy access.
    • Distribute portfolio information where and to whom required.
    • Ad-hoc admin tasks.
    • Assist with risk identification.
    • Contribute to efficient CIS operations by monitoring and tracking the accurate and timeous processing of client transactions and requests by the Administrator.
    • Capitalize on opportunities to demonstrate superior customer service through the provision of courteous and efficient solutions to clients’ needs.
    • Ensuring the Client Support mailbox is up to date, and all emails are responded to.

    Technology:

    • TCube, Graphite, Citrix and Standard Bank Online

    Skills Required:
    Knowledge 

    • Excel skills are essential;
    • Basic understanding of unit trusts and investments.

    Manager - Private Equity Fund Accounting

    Key responsibilities

    New clients

    • Provide services to a complex book of Private Equity clients.
    • Project management of new client, investor and investment onboarding.
    • Act as central point of contact for the Private Equity Operations team for their allocated client base.
    • Ensure policies and procedures are followed and checklists completed in a timely manner.

    Technical guidance and support

    • Assisting in the Management of specialised services teams on all aspects of financial reporting, including working directly with Apex customers to ensure their structures are run efficiently in compliance with the relevant laws and contractual obligations.
    • Working with the management team and directors to ensure the planning, coordination and completion of NAVs and SLA deliverables.
    • Ensuring quality control prior to the further review and approval of Apex authorised persons including payments, calculations and transactions.
    • Preparation and implementation of entity customer specific procedures in relation to the reporting requirements and support the implementation of new structures;
    • Ensuring reporting complies with entity and statutory requirements including local law, relevant GAAP or IFRS and other reporting principles.
    • Provide technical guidance to client service teams where required.

    Management of KPIs & Relationship Management

    • Reinforce positively throughout the team the importance of meeting KPIs.
    • Establish build and maintain strong working relationships with relevant internal functions;
    • Cover for other managers within the team during periods of absence;
    • Perform other duties to support the PE team as may be necessary from time to time;
    • Ongoing feedback from all key stakeholders on ongoing tasks including CDD ops, Ops, compliance and client services;
    • Keeping KPIs within the tolerance levels set by the business;
    • Manage performance and development of direct reports and their teams;
    • Obtain and enhance detailed client specific knowledge to assist in providing more holistic solutions and identify potential opportunities to deepen existing relationships;
    • Review and provide comments on fund related documents e.g. LPA; Investment Agreements, etc.
    • Identify and suggest solutions to operational issues;
    • Liaise with lawyers, general partners, external auditors and tax advisors for fund related matters;
    • Perform other duties as necessary to support the internal procedures and external strategic development in line with the scope of this role.

    Skills / experience

    • Professional qualification – CA(SA) / SAIPA / Equivalent
    • Ideally 5+ years’ experience in a similar relevant capacity in the fund admin industry.
    • An understanding of regulatory and financial reporting regime and IFRS.
    • Ability to motivate and influence a team, high level of managerial skills

    Senior Sales Operations Manager

    • We're looking for an experienced Senior Sales Operations Manager to help scale our GTM processes and systems vision, lead GTM enablement, build our commercial librarian function, and serve as the central point of cross-functional gravity between Commercial Operations, Product Management, and Business Operations. You'll report to the Global Head of Commercial Operations and Deal Desk, and you'll have real latitude to shape how this function grows. 

    What you'll own 

    • The Opportunity Lifecycle, end-to-end.  You'll own the stages, activities, statuses and system interface of our opportunity lifecycle across our full product portfolio, every transaction type, and every route-to-market. If it touches how a deal moves from first identification to closed-won, you'll help design and envision how it evolves operationally to enable greater intuitiveness and scale. 
    • Our systems vision.  You'll support the systems strategy underpinning our commercial target operating model — helping translate "how we want to sell" into "how the platform actually works" across the entire opportunity lifecycle. 
    • Enablement and adoption across GTM.  You'll lead the learning, enablement and adoption of systems, operations and processes across GTM — turning new processes into habits people use, not just policies they tolerate. 
    • The central librarian function.  You'll build out our central "librarian" function: the curated home for commercial and knowledge artefacts across GTM, so the right playbook, template or precedent is always one search away, not buried in someone's inbox. 
    • Cross-functional alignment.  You'll be the connective tissue between GTM, Commercial Operations, and key business partners — especially Product Management and Business Operations — ensuring decisions in one function don't quietly break another. 

    Qualification and Experience 

    • Education: Minimum of a bachelor's degree in business administration or a closely related professional discipline. 
    • Solid experience, minimum of 7 years, in Sales Operations, Revenue Operations, or Commercial Operations, ideally within a B2B SaaS, financial services, or professional/fund services environment 
    • Hands-on comfort with CRM/CPQ platforms (Salesforce strongly preferred) and a genuine interest in how business operations should be designed and how systems should operate to deliver effective outcomes 
    • Experience designing or evolving opportunity/pipeline stages, qualification methodology, or deal governance frameworks 
    • A track record of building enablement or training programmes that move adoption, not just tick a compliance box 
    • Strong instincts for information architecture — you like things organised, findable, and current 
    • Confidence operating cross-functionally with Product Management and Business Operations stakeholders, including when priorities compete 
    • Comfort with ambiguity — you'll be helping define parts of this role as you go, not following a fixed playbook
