    Assistant Company Secretary - Sandton

    Job purpose

    To provide Company Secretarial and administrative support and act as a key support partner and be an extension of the Company Secretary, Company Secretarial Team, Executive Directors and Executive team through professional interactions with various stakeholders that are engaged with daily.

    Duties and responsibilities

    Minutes

    • Ensure accurate minutes are taken of the company’s Deal Forum, Telecommunication Investment Company, Operational Exco and Staff Incentive Scheme Meetings.
    • Facilitation of meetings, preparation of agendas and follow up on matters arising.
    • Preparation of reports.
    • Attendance and recording of meetings.
    • Provide minute extracts, as required. 
    • Ensure all minutes are signed and the minute books are updated. 

    Statutory

    • Draft company resolutions. 
    • Completion and submission of required documentation to CIPC - company changes (directors etc.) - MOI's etc.
    • Ensure statutory files are maintained correctly and timeously.
    • Maintenance of statutory record on E-sec.
    • XBRL conversions and submission.

    Administration

    • Coordinate and generate the powers of attorney. 
    • Proper and accurate Group / organogram and investments maintained for all subsidiaries. 
    • Monitor and provide guidance for levels of authority.
    • Provide supporting documents and paperwork for general signing authorities, upload to the intranet and maintain library.
    • Ensure the Access to Information manual is updated and submitted timeously.
    • Collate all share movements of Directors and Executive members.
    • Prepare and ensure that directors financial and directorships interests, register of interests in shares are updated for noting at quarterly Board meetings.
    • Responsible for filing room and Electronic library (intranet).

    General Liaison and Queries

    • Liaise with Auditors regarding statutory records. 
    • Respond to general queries regarding FICA, Tenders / Credit Applications, SARS, B-BBEE Verification. 
    • Gift declaration register.

    Requirements

    Experience 

    • 3 - 4 Years relevant working experience as an Assistant Company Secretary.
    • Understanding of the Company Secretariat function.
    • Knowledge of or understanding the JSE Listing requirements

    Qualifications

    • Studying towards or completed CIS qualification. 

    Competencies and Skills

    • High computer literacy – proficient in Word (essential), Excel (essential) and PowerPoint 
    • Attention to detail of utmost importance. 
    • Meeting deadlines, despite reliance of others. 
    • Minute taking.

    TI Project Administrator

    Job Purpose

    Responsible the full administrative functions of the team and dealing with queries from internal and external clients.

    Duties and responsibilities

    • Processing and management of invoices and quotations and follow up on outstanding invoices and quotations.
    • Update and maintain the tenant installation database and track key project documentation. 
    • Administer and ensure projects compliance with building regulations, OHS Act and fire compliance.
    • Manage project and CAD database (Electronic Library), i.e., plans, C.O.C’s, correspondence, etc. 
    • Analyse and facilitate the authorisation of the tenant installation creditors accounts. 
    • Follow up on outstanding documentation.
    • Liaise with property staff.
    • Provide tenants with service disruption updates.
    • Conduct self-performance reviews and attend bi-annual Reviews.
    • Do periodic checks on tenant fit outs to ensure contractors complying with our company standards.
    • Manage and collate all contractor documents for vendor approval by procurement.
    • Manage site contract database.
    • Assist facility manager with capital expenditure projects.

    Requirements

    Qualifications

    • Matric / NQF equivalent 
    • Project/Construction Management tertiary qualification

    Experience 

    • Dealing with creditors accounts, a property background is an advantage 
    • Minimum 3 years working experience in financial / administrator role

    TI Project Coordinator

    Job Purpose

    Responsible for managing the planning, budgeting, and estimating process for tenant installations, refurbishments, and small works projects. 

    Duties and responsibilities

    • Manage planning, budgeting, and estimating process for tenant installations, refurbishments, and small works projects
    • Research, develop and implement systems, procedures and structures that would enhance the functioning and productivity of projects and ensure policies and procedures are implemented consistently
    • Implement and assist with project management design principles to ensure that projects are completed on time and within budget
    • Implement value management principals in projects
    • Project co-ordination and management of projects, contractors, and professional teams
    • To ensure timeous response and follow-ups to complaints received from tenants with regards to projects
    • Monitor the quality of services rendered by suppliers and to ensure that deliverables from service providers are met
    • Ensure that all projects comply with all statutory and building regulations
    • Maintain good PR and communication with tenants, professional teams, contractors, space planners and internal stakeholders
    • Implement “Green Building” principles
    • Attend ad hoc tenant and administrative meetings with clients, consultants, etc.
    • Arrange site visits with designers for project practical completion inspections.
    • Arrange meetings with relevant parties when required i.e., with council, tenants, etc.
    • Monitor and follow up on statutory council, internal and development processes.
    • Prepare monthly report
    • Ensure 100% handover documentation is received on completion of projects
    • Process project payment invoices
    • Attend monthly management meetings
    • Manage CAD database

    Requirements

    Qualifications

    • Project/Construction Management tertiary qualification

    Experience 

    • Over 5 years’ experience in a property and co-ordination role
    • Green Building Knowledge
