    Payments & Data Administrator

    • We are seeking a detail-oriented and skilled Payments & Data Administrator to join our team. The ideal candidate will have a strong background in financial management, accounting, and investment fund administration, with a particular focus on Luxembourg funds. The successful candidate will be required to work to strict SLA’s.

    Key Responsibilities

    • Financial Reporting: Prepare and interpret financial statements and reports.
    • Budgeting and Forecasting: Develop and manage budgets and financial forecasts.
    • Accounts Payable/Receivable: Handle invoices, payments, and collections calculate management fees.
    • Tax Preparation and Compliance: Ensure adherence to tax regulations and prepare tax returns.
    • Accruals Management: Record and reconcile accruals to ensure accurate financial reporting.
    • Investment Fund Administration: Oversee the administration of Luxembourg-domiciled funds, including UCITS, AIFs, SIFs, and RAIFs.
    • Regulatory Compliance: Ensure compliance with CSSF regulations and other relevant financial regulations’ fillings with Tax authority.
    • Management Fee Calculation: Calculate management fees based on assets under management (AUM) and ensure accurate fee processing.
    • Trailer Fees: Manage and calculate trailer fees, ensuring they are correctly applied and documented
    • Ensure that the payment run instructions are prepared for all the invoices submitted by client administration teams and internal finance teams. and obtained necessary approvals, sent for payments where applicable, set up payments in the banking platforms, within strict cut-offs and according to client agreed deadlines.
    • Obtain the necessary signatures and approvals from the clients where necessary.
    • Accurate input of payment instructions for various types of payments across various banking platforms where necessary.
    • Send the duly executed payment instructions to the paying agents where necessary.
    • Liaise with the paying agents to clarify any payment instructions.
    • Monitor payment request queues and implementing urgent instructions.
    • Monitor workflow and authorisations to ensure payments are executed in line with cut off requirements.

    Skills & Experience

    • Bachelor’s degree or Diploma in Finance, Accounting, or a related field.
    • Previous experience in finance administration or a similar payment administrator role.
    • Valid passport would be to your advantage.
    • Experience in Luxembourg fund administration will be beneficial, but not essential.
    • Attention to detail and accuracy in financial records and reports.
    • Proficiency in Excel for financial calculations and data analysis.
    • Strong organisational and time management skills.
    • Effective problem-solving abilities.
    • Excellent communication skills for interacting with team members, management, and external stakeholders.
    • Ability to work collaboratively in a team environment.​

    Accountant, Family Office

    Role summary

    • This is a position suitable for candidates preferably with more than 2 years’ experience from a directly related position in a similar quality organisation ideally with some private equity or private debt experience. The ideal candidate will be a professional accountant with a recognised professional qualification, have a strong academic background and be highly numerate with drive and enthusiasm, which is compatible with the organisation as a whole.

    Key responsibilities

    • ​Preparation of monthly and quarterly financial reporting in accordance with client deadlines.
    • Assist with all aspects of accounting matters, including the preparation, reconciliation and proofing of investor reports, statutory financial statements and ad hoc investor requests.
    • Assist with the completion of routine audit queries.
    • Prepare periodic bank reconciliations and provide or source supporting documentation evidencing transactions.
    • Maintain accurate records on NavOne and Microsoft Excel working paper schedules for all aspects of bookkeeping.
    • Assist in the preparation and reconciliation of periodic direct and indirect tax returns.
    • Prepare management accounts, NAVs and annual financial statements, in accordance with FRS 102 or IFRS.
    • Ensure that bank accounts and investment portfolios have been reconciled in accordance with the Company’s procedures and that all reconciling items are satisfactorily resolved.
    • Provide on the job coaching and supervision to more junior members of the accounting team.

    General responsibilities

    • To demonstrate strong accounting technical knowledge when dealing with admin teams, client personnel and auditors.
    • To ensure that all work is conducted in accordance with Company internal procedures.
    • To maintain the highest standards of confidentiality and security in terms of client affairs and papers.
    • To monitor your own performance against personal and development targets.
    • To ensure compliance with the Company’s professional conduct, quality and ethical standards.

    Financial

    • ​Ensure accurate and timely recording of personal time in line with group procedures; and
    • Ensure time records are always up to date.

    Time Management

    • ​Maintain and Monitor task list to ensure completion on a timely basis, under supervision of your superior;
    • Effectively manage workload, complete daily work and allocated project work as needed; and
    • Effectively communicate the status of workload to superiors as appropriate.

    Skills & Experience

    • ​SAIPA / AGSA or equivalent qualification.
    • Strong financial services experience (1-2 years) preferred.
    • IT literate and confident when word processing, using Internet software, E-Mail, Database software and Excel Spreadsheets.
    • Experience in private debt or private equity would be advantageous.

    Finance Administrator

    Role summary

    • The Finance Administrator’s role is to support the Finance Officer in delivering an effective support service across each of Altum Group’s locations. They will have a range of responsibilities and will be adaptable, managing workload to meet business needs.

    Key Responsibilities

    • Keeping accurate records for daily transactions across multiple companies and jurisdictions, including accounts payable, accounts receivable and expenses;
    • Reconcile bank statements;
    • Managing and processing invoices and organizing to obtain relevant approvals;
    • Processing payments;
    • Follow up with clients, suppliers and partners as needed;
    • Performing other duties as necessary to support the Finance team and wider business and generally act in the best interests of the division by supporting team members;
    • Working with Finance and wider Altum teams to improve reporting efficiency and accuracy;
    • Assisting with reviewing and implementing financial policies where necessary;
    • Participating in annual audits;
    • Developing and maintaining effective working relationships with colleagues both in immediate department and wider departments/jurisdictions as required.

    Skills & Experience

    • Work experience as a Finance Assistant or similar role.
    • Good knowledge of accounting and bookkeeping procedures.
    • Good MS Excel skills (creating spreadsheets and using financial functions).
    • Familiarity with accounting software (e.g. NAV).
    • Organisational, time-management ​and team collaboration skills.
    • Attention to detail, with an ability to spot numerical errors.
    • Hold a suitable professional qualification, minimum of financial accounting 3 from a university or similar institute.
    • Excellent analytical and numerical skills.
    • Strong ethics, with an ability to manage confidential data.
