    Commercial Assistant (Johannesburg, Durban)

    About the Role

    The Commercial Assistant will be responsible for a range of administrative, secretarial and support functions to assist the Commercial Business - Sales and Marketing, with their day-to-day activities. This role reports directly to the Sales Director, South Africa & Anglophone Africa.

    What You Will Do

    • Responsible for the planning, preparation and co-ordination of workshops, functions, trainings, and conferences;
    • Receive and process Commercial invoices for payment;
    • Manage, coordinate, and distribute marketing promotional material;
    • Manage courier services, as well as internal and external mail;
    • Update and maintain all Commercial documents, contracts and data;
    • Provide administrative support to the Sales Director and Management team;
    • Responsible for meeting scheduling, coordination and providing administrative support;
    • Assist with travel and accommodation arrangements.
    • Manage the order placement and distribution of goods. I.e. corporate gifts, stationery and office items.
    • Support with ad hoc projects, tender sample packing and all-round activity requirements.

    Who You Are

    • Must have matric and preferably a post matric qualification in related field. I.e. Sales & Marketing or Administration;
    • Minimum 3 years' administration and assistance experience in a similar role;
    • Excellent computer skills - Microsoft package experience is essential, and SAP knowledge;
    • Must be an excellent communicator (written, verbal and listening) and be able to engage in a professional manner with internal and external stakeholders at all levels;
    • Must be able to work independently and be a team player,
    • Must be able to work under pressure, with strong prioritizing and organization skills;
    • Must be able to multitask, work with attention to detail and accuracy;
    • Must be fluent in English.

    Tick-Off Opr/Clerk-Production Materials

    About the Role

    The successful candidate will be responsible for the ensuring timeous receipt of production material that meets the GMP requirements. Adhere to correct and timeous process of billing of materials and availability of material to facilitate swift changeover in production. This role will report directly to the Team Leader.

    What You Will Do

    •  To receive raw materials or semi-finished goods from Raw Material Stores (RMS), other factories, and external suppliers. 
    •  Review the transfer document and compare the quantities. 
    •  Do materials returns from the factories to RMS. 
    •  Create a materials receipt routine and manage the storage of the materials. 
    •  Supply all factories in A block with the materials that are required.
    •  Assist the team leader in requesting the material from RMS as per the production order requirement. 
    •   Assist the Team Leader in required maintaining minimal stock quantities in the factories. 
    •  Where applicable and competent perform relief duties for operators. 
    •  Assist in monthly stock-taking activities.
    •  Adhere to all company protocols including relevant SOPs, Code of Conduct, Health & Safety standards etc.

    Who You Are

    •  Must have matric, with tertiary qualification. A qualification in Supply Chain or Warehousing or Administration will be added an advantage;
    •  Minimum of 3 years’ manufacturing experience. Data capturing and administration experience will be added an advantage;
    •  Must have basic computer skills. SAP B1 experience will be added an advantage;
    •  Must be organized, with attention to detail, accuracy and be deadline driven;
    •  Must be a strong collaborator with good communication skills (verbal, written and listening)

    Customer Service Representative - Back Order and Master Data Administrator

    About the Role

    There is an opportunity for a Backorder Master Data Administrator to join our Customer Services team based in Pinetown, South Africa. In this role the incumbent will be responsible for ensuring effective management of the open order book and manage stock allocation between the various customer orders in line with priority and inbound shipments. This position reports to the Customer Service Manager.

    What You Will Do

    • Ensure all open orders are managed timeously, with clear communication to all stakeholders;
    • Manage exceptional demand on daily orders and review the plan with Supply Planners;
    • Review of variant management process to ensure fulfillment of orders and the correct product variants;
    • Liaise with Warehouse on stock accuracy and ensure all items are updated;
    • Releasing of all open orders as stock is received;
    • Be a liaison between Supply planners and Customers to ensure transparent communication on the status of orders;
    • Report on aged orders and maintain the order book to keep the system current;
    • Alert Sales and CS team on the long outstanding delays and advise on the deviation of sales numbers against monthly targets;
    • Maintain regular updates to Customers, Sales and internal stakeholders on the status of orders and estimated arrival times;
    • Master data management and audit trails to ensure customer master data is accurate;
    • Updating and opening of new accounts;
    • Edit and review changes and amendments on all customer accounts;
    • Work cross functionally within in the team as the need arises.

    Who You Are

    • Must have matric. Preferably with a post matric qualification in relevant field of Customer Services or Supply Chain;
    • Minimum of 3 years’ experience in Customer Services especially with stock level and order book management, preferably within Medical Device or FMCG industry;
    • Proficient in Microsoft Office with especially strong in Excel experience;
    • SAP experience and exposure to Data Entry Tools - B1, BW and AP1 will be advantageous;
    • Must have excellent verbal and written communication skills and be fluent in English;
    • Display excellent numerical reasoning with high attention to accurate details and deadline driven.
